Our busy immigration law firm is looking for an efficient, organized legal administrative assistant to help our attorneys and paralegals assist clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents, and handle all office correspondence including answering phone calls and emails, arranging meetings, and reminding the team of upcoming deadlines. Responsibilities
* Adhere to office policies and procedures.
* Contribute to improvements in legal work, customer service, and firm profitability.
* Ensure a professional first impression by greeting current and potential clients both in person and on the phone.
* Manage office correspondence and administrative tasks such as answering phone calls, communicating with USCIS, responding to emails, and reminding the team of upcoming deadlines
* Collect, sort, and scan daily mail.
* Share USCIS notices with the legal team and with the client, under the attorney’s direction.
* Daily check of the firm’s schedule, ensuring conference rooms are reserved for meetings.
* Schedule meetings and appointments for the team, add important dates to Clio, and attorney calendars, and notify the legal team.
* Create both paper and electronic case files within one business day of hiring.
* Follow the case-closing checklist upon completion.
* Maintain organization of client files.
* Assist with final submission of applications, including FedEx labels, scanning, copying, and checklist completion.
* Update clients on the status of their USCIS cases as soon as updates are received.
* Responsible for opening the office in the morning and securing it at the end of the day.
* Maintain an organized and efficient office environment, including managing file systems and ensuring that common areas are tidy.
* Monitor office supply levels, place orders for necessary supplies, and restock as needed.
* Complete legal research as needed under the supervision of attorneys and paralegals
* Help with creating a variety of litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when necessary
* Accept other administrative tasks as needed to assist the team and ensure the firm runs smoothly
Qualifications
* Kind, understanding, and patient nature with clients in phone and written communications.
* Good computer literacy with Google and Microsoft Office.
* Fluency (written and spoken) in English with a strong preference for fluency (written and spoken) in Spanish, Portuguese, and/or other languages.
* Associate degree or higher OR significant work experience in similar roles
* Applicants must have excellent communication skills and organizational skills
* Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
* Candidates must have worked with legal software, case management, and docketing programs
Compensation
$60,000
