What You’ll Be Doing: This role will be working across our client’s Component Sales (“FCS”), Material Planning & Logistics (“MP&L”) and Purchasing Teams as an Operations Coordinator. You will be responsible for increasing sales via proactive interaction with customers through phone, chat and e-mail communications tracked through Salesforce, producing quotes for our client’s customers and will be accountable for all their allocated account activities. This role will also handle activities that extend into the MP&L and Purchase area in FCS and use internal systems to schedule parts using CMMS and Rapid systems, as well as liaising closely with the FCS consolidators. It will involve following up on non-shipped parts from Suppliers, FCSD or our client’s plants. This role will use internal systems to analyse the most pragmatic and feasible route to source parts following enquiries from customers. Liaising with product development, purchasing, finance, sales and marketing to ensure an accurate and timely response is provided to the customer. During a Typical Day, You’ll: Utilise product and system knowledge to provide pricing and fulfilling the customer’s request. Updating internal systems and databases such as Salesforce and using other systems to research parts and source information. Responsible for ensuring that all data entered into an internal system is correct to minimise any impact to pricing and invoicing for FCS quotes to customers. Ensure all pricing forms follow the FCS rules and approval processes. Liaising with MP&L and Purchasing Team for sourcing enquiries. Responsible for checking through and correcting any errors on pricing quotes. Creating quotes for customers as required. Developing new sales opportunities and following up accordingly. Regularly contacting customers (phone calls, e-mails, Teams etc.) and joining relevant meetings throughout the sales process. Process customer registrations and seek management approval where required. Supporting customer general enquiries and supplier follow-ups in a timely manner. Maintain departmental procedures and review yearly for our client’s Annual File Review. Analyse enquires from potential supply route using various internal systems to establish the most viable means of achieving the customer’s needs, taking into account cost, location, and supply chain activity. Initial contact with suppliers, including release of request for quotation. Manage and update the Parts database for FCS via Salesforce. Create, order and schedule automotive parts using internal systems from a global network of suppliers. Managing the inbound logistics via 3rd party carriers to ensure materials arrive on time to the external warehouse operations in the UK and Germany. Work alongside the warehouse operations team to ensure material is processed in a timely manner and customer due dates are adhered to. Handle and resolve any inbound and outbound material issues, shortages, overages etc. Create, when required, customs documentation to support exports from UK to EU and EU to UK. Update and maintain internal order tracking database. Produce reports as and when required. Ensure full support is given to all other departments to ensure objectives are met. Ad hoc duties as and when required. What You Bring to the Role: Previous Entry Level experience in Administration & Sales is essential. Experience of using Our client’s systems beneficial – SAP, FPC & CMMS, WIPS, Web quote Portal, SIM, SNC and Salesforce. Automotive parts experience is beneficial. Our client’s experience is beneficial. Some knowledge of the supply chain functions in Our client’s and FCSD is desirable but not essential. Customs and export knowledge desirable but not essential. A-level educated, or equivalent experience is required. Proactive. Good level of IT skills – using Microsoft Word, Excel, Outlook. Salesforce desirable. Ability to work alone and as part of a team. Ability to work to tight deadlines.
