Hogan Lovells US LLP seeks an innovative and detail-oriented legal recruitment professional to join the Associate Recruitment team in Washington, D.C. The Associate Recruitment Coordinator is responsible for coordinating recruitment and onboarding of student and entry-level legal (non-partner) positions for the U.S. Recruitment team and will work on nationwide projects for the department. The Coordinator will work primarily with the Director and Operations Manager and will have significant responsibilities to the broader Associate Recruitment team and other departments within the firm to oversee and coordinate recruiting and onboarding activities. This position will also collaborate on special projects and recruitment initiatives as assigned.
JOB DESCRIPTION
LEGAL RECRUITMENT & OUTREACH
1. Coordinate and troubleshoot all aspects of legal (non-partner) recruiting including application processing and interview scheduling as assigned. Keep managers and relevant practice groups, law school team leaders, and recruitment committee members informed of candidate statuses.
2. Coordinate law student outreach and pipeline programs for assigned schools. Build and maintain relationships with school career services offices.
3. Register for and coordinate on-campus interviews, job fairs, and other recruiting events at select law schools. Prepare OCI materials for interviewers, coordinate and track follow up activities and keep school teams informed of status updates.
4. Track candidate outcomes, including offer outreach, follow up meetings and events (including additional interviews and/or lunches, dinners and receptions). Inform interviewers and other key contacts of outcomes and follow up activity. Communicate with candidates and search firms regarding their status as appropriate.
5. Coordinate candidate travel, reimbursements, and expense reconciliations.
6. Coordinate the onboarding and integration of new hires by acting as a point person until their arrival, preparing pre-arrival documentation, overseeing orientation in collaboration with other members of the Associate Recruitment team and other administrative departments, checking in with new hires on a periodic basis, and ensuring a smooth transition to the firm.
7. Assist recruitment team within home office to plan, organize and execute summer programming and recruiting events, as needed.
8. Assist the relevant Manager with reporting on recruiting outcomes which may include compiling and analyzing metrics, reviewing survey results, preparing statistical reports, and updating school summaries.
9. Communicate with other Associate Recruitment team members to share office specific and local market intelligence and to incorporate into broader department initiatives.
ADDITIONAL RESPONSIBILITIES
1. Coordinate tracking of new hire compliance and follow up.
2. Work with International Assignments and Secondments Manager to develop and deploy outreach program to ensure timely completion of compliance by new hires.
3. Coordinate all aspects of the processing of invoices and payments to vendors; liaise with Finance Department and others as necessary to resolve issues.
4. Coordinate with IT Department for access to, training on, and structure within NetDocuments; create summer associate project retention system.
5. Coordinate training, access and other materials on Teams and Cornerstone, as required.
6. Coordinate the selection, purchase and dissemination of new hire gifts and outreach giveaway items.
7. Lead process for entry of candidate assessment, summer associate departure, and other class updates; collaborate with administrative teams as others to ensure timely updates.
GENERAL
1. Keep abreast of changes in firm policies and procedures as they apply to the attorney recruiting and onboarding processes and implement changes as needed.
2. Work with manager to develop and monitor the local recruiting budget.
3. Mentor junior team members including assistants and interns.
4. Participate in volunteer activities as outlined in the firm’s Global Responsible Business program.
5. Work collaboratively with Associate Recruitment Department members to support other functional areas and special projects as needed.
QUALIFICATIONS
REQUIRED SKILLS
1. Strong organizational skills and attention to detail
2. Strong interpersonal, written, and oral communication skills with a service-oriented approach in order to work and interact effectively with candidates, all levels of firm personnel, and a variety of external entities in a courteous and professional manner.
3. Ability to juggle multiple assignments and adapt to changing priorities.
4. Must be able to work under pressure to meet deadlines and be able to work with a high degree of independence.
5. Ability to exercise discretion, good judgment, flexibility and maintain confidential information at all times.
6. Proficiency with Word & Excel is required.
EDUCATION, CERTIFICATIONS, AND OR EXPERIENCE
1. Three (3)+ years of legal or campus recruiting experience at a law firm or other professional services environment preferred.
2. Bachelor’s degree preferred.
3. Experience working in Symplicity (law school recruiting and communications tool) and an applicant tracking software required.
4. Experience with viRecruit, LawCruit, and WorkDay is preferred.
HOURS
Core hours are Monday through Friday, 9:00 a.m. to 5:30 p.m., including one hour for lunch. Flexibility for overtime as needed, particularly May through August.
In Washington, D.C., the annualized salary range for this position is $63,535 to $71,180, depending on the candidate's overall experience and other job-related factors permitted by law. Full-time employees may be eligible for a discretionary bonus. In addition, full-time employees as well as some part-time employees, will be eligible for the firm’s fringe benefits as they currently exist.
