Distribution Administrator – Lincat

We have an exciting opportunity for a Distribution Administrator.
As a Distribution Administrator, you will be responsible for overseeing and managing the day-to-day operations of the distribution process. This role will ensure the efficient flow of products from the warehouse to customers, coordinating with internal teams and external partners, and supporting the overall supply chain management function. The Distribution Administrator is integral in tracking shipments, managing inventory, processing orders, and ensuring compliance with regulations and company standards.
Key Areas of Responsibility
• Process and confirm orders for distribution, ensuring accuracy and timely processing.
• Collaborate with sales and customer service teams to resolve order discrepancies.
• Ensure documentation is completed for each shipment, including invoices, packing lists, and shipping labels.
• Track inventory levels and coordinate with warehouse teams to ensure the accurate stock is available for orders.
• Monitor stock movement and assist with stocktakes and audits as needed.
• Address inventory discrepancies with full investigation escalating issues for resolution.
• Coordinate with logistics providers to arrange shipments and deliveries.
• Track shipments and manage delivery schedules to ensure timely and efficient distribution.
• Resolve shipping issues, including delays or damage claims, working closely with carriers and customers.
• Ensure compliance with legal and regulatory requirements related to transportation and distribution, including safety standards.
• Maintain proper documentation for shipping and receiving, as well as customs and other regulatory forms.
• Identify and resolve any issues related to shipments, such as discrepancies in orders, damaged goods, or late deliveries.
• Collaborate with other departments (sales, customer service, etc.) to investigate and resolve problems efficiently.
• Work closely with warehouse team and other departments to streamline operations and improve efficiency.
Knowledge, Skills, and Experience
• Prior experience of administrative support duties ideally in a logistics environment.
• Knowledge of distribution management software and Microsoft Office Suite (Excel, Word, Outlook).
• Strong organisational and time-management skills.
• Excellent attention to detail and problem-solving abilities.
• Strong written and verbal communication skills.
• Ability to work under pressure and meet deadlines.
• Knowledge of inventory management and order processing systems.
• Ability to work collaboratively in a team environment
