Asset Management and Admin Assistant - Bicester

We are now seeking an Asset Management and Admin Assistant, responsible for executing requisitions, purchase orders, asset management, and financial management across our environment to assist the Global Head of IT in maintaining strong financial and material controls. The successful candidate will also coordinate the application onboarding process with the workplace team and support the Global Head of IT with travel bookings and other administrative tasks. This role requires advanced use of excel with strong organizational skills, with the ability to adapt to multiple processes.
Role Responsibilities
* Procurement & Deployment
* Owning and managing the IT hardware purchasing process
* Request and monitor Purchase Orders
* Respond to status inquiries
* Coordinate delivery and collection of IT equipment
* Ensuring correct budget allocation for purchases
* Assist with vendor management
* Vendor point of contact
* Facilitate vendor/supplier evaluations
* Asset management
* Manage Capital IT Asset Register
* Coordinating software application onboarding
* Manage Software Licences including renewals
* Ensure assets and peripherals are procured and ready to meet employee new start and asset refresh demands.
* Finance
* Track IT & Digital spend categories (Hardware/Software/Consulting/Services)
* Assist with IT Budget Forecasting and annual Budgeting process
* Identify inefficiencies and areas for improvement
* Proactively identify and resolve issues and risks, escalating as appropriate
Role Requirements
* Bachelor’s Degree or equivalent career experience
* 5+ years of experience
* Act in an ethical manner and follows the principles of the ethics charter and ethics in practice guidelines
* Good understanding of international working and IT operations of a global consultancy
* Ability to work on own initiative and within a team
* Prior experience in procurement or purchasing support
* Exceptional organizational and time management skills
* Detail-oriented and adept in problem solving and resolving conflict
* Strong excel skills
* Demonstrate ability to work across multiple job levels to achieve results
* Excellent interpersonal, written and oral communication skills with all levels of the organization
* A proactive mindset
* Ability to prioritise own workload
* Ability to work to strict deadlines
