We are looking for an Administrator to provide comprehensive administrative support for the Visitor Centre at the Newport Wetlands National Nature Reserve, facilitating delivery of work programmes, ensuring an effective working environment for staff and volunteers as well as a high-quality facility for visitors. Newport Wetlands is a special area for wildlife, lying alongside the Severn estuary close to the river Usk. It is one of the most important areas of wetland habitat in Wales, providing a haven for wildlife on the edge of the city. Specialist wetland birds such as bearded reedlings, little egrets, and the elusive bittern can be found here year-round. In Summer the reserve is a stronghold for the rare shrill carder bee and in the autumn waders and waterfowl appear in large flocks, along with the spectacle of fabulous starling murmuration’s. What's the role about? We are looking for someone who has good administrative skills and experience to support the operation of this busy visitor facility. The role provides variety, and you will be working in a stunning reserve location. You will: Provide comprehensive administrative support to the reserve team including administration of financial processes, stationery and cleaning supplies, diary bookings and training arrangements. Handle telephone and face to face enquiries from the general public, staff, volunteers and other site stakeholders. Build and maintain effective relationships both internally and externally, using diplomacy and tact and ensure that confidential and sensitive matters are handled appropriately, and that the RSPB is represented in a positive manner. Undertake day-to-day coordination of the office and visitor centre environment, liaising with the on-site management team, central functions and suppliers as necessary to ensure that the visitor centre is an efficient, effective, and safe place to work and visit. Contribute to the development of the wider RSPB administrative peer group across the organisation, sharing best practice and building positive relationships. Assist in the management of business information and data held in RSPB systems so that this information is available internally and externally in accordance with RSPB Information Management Policies and statutory requirements (e.g. GDPR). Support the management team by developing and maintaining reporting processes to ensure that financial, kpi and other relevant management information is accurate and up to date. Provide comprehensive project and programme administration support for local projects in accordance with the RSPB Project Management Framework. Essential skills, knowledge and experience: Working knowledge of Microsoft Office365 applications (in particular Excel, Outlook, Teams and Word) Working knowledge of PowerPoint and Publisher would be an advantage. Knowledge of document management and team collaboration methods such as SharePoint. Familiarity with budget management terminology and principles. Good organisational and time management skills Proactive approach to problem solving and ability to work on own initiative. Ability to communicate effectively with a wide range of audiences whether by phone, email, online or in person. Ability to organise meetings and events and coordinate all aspects of the meeting or event logistics to a high standard of customer experience. Experience of working in an office or customer care environment in an administrative capacity and as part of a wider multi-role team. Desirable skills, knowledge and experience: Experience working with volunteers. This is a Permanent role for 22.5 hours per week with a working pattern of Monday to Wednesday including Bank Holidays with occasional flexibility to meet business needs.
