To effectively manage business critical information for our client in Thurso. Supporting requests to both retrieve information – often operating within tight response deadlines, and requests to appropriately index and archive business critical information which needs to be retained, in line with established and stringent workflow processes and systems.
Working as part of a small team, the first element of this role will be within the onsite print room; for which full user training will be given. Operating a variety of reprographics equipment, these activities include printing, finishing, copying, scanning, distribution, and the safe destruction of documents in accordance with established on site security procedures.
The role also requires an element of Drawings Management to which full user training will be given. Locating and retrieving historical drawings from the various onsite archives will be required, following a defined process to digitise and distribute thus meeting the customers agreed service level agreement.
The final element of the role is to support the ongoing, contract critical document auditing project in line with the site decommissioning plan. The team are supporting the client in sanctioning and appropriately actioning all retained documentation held on site. This project is key critical to the client thus requires the team’s full attention. By working closely with the client’s project manager, you will undertake auditing activities to meet the clients project timeline.

Responsibilities & Tasks:
9. Provide an excellent customer service. Liaise with both internal and external customers and stakeholders at all levels of the business to ensure that customer requests to obtain, retrieve and distribute information are processed efficiently, effectively, and are primarily compliant with the agreed business operating standards.
10. Aid the Team Leader in performing regular musters checks across all Library and Technical Document/Drawings assets, and provide audit reports to site security that comply with legislative governance within which the site operates.
11. Support customer requests to obtain and procure published information/standards from established external sources.
Maintain and update the company drawing and document archives.
12. Manage all requests entering the Print Room to which full user training will be given on how to safely operate the departments various equipment. Successful applicants should have a basic understanding of print and print room finishing methods of production, and be able to navigate computer systems and software competently.
13. Ensure that all company assets are rigorously controlled and accurately administered within the company database/s and those assets which are out on loan are traceable for audit purposes.
14. Perform general administration and adhoc duties as requested by the Team Leader.
15. Ensure that the Team Leader is regularly informed of work progress, and highlight issues or improvement opportunities.
16. Maintain good house-keeping and a tidy environment at all times.
17. Comply with site Quality, Health, Safety, and Environment regulations.
Required Skills & Qualifications:
18. IT Proficient – You will be a confident computer user who demonstrates accurate keyboard & word processing skills. A good working knowledge of MS Office, including Microsoft Excel is essential. Previous experience maintaining company records in an electronic database is desirable.
19. Experience of operating print room reprographics equipment would be a distinct advantage, though this is not essential and full user training shall be given. More importantly you have an inquisitive mind, enjoy learning new skills, and are a confident computer user with some experience of processing different document types.
