Executive Assistant Job Description

Executive Assistant
Duration: Permanent
Salary: £18,000 – 23,000 per annum
Working Hours/Pattern: 35 hours per week. Monday to Friday, 10.00 – 6.00 hours. Flexible working arrangements will be considered.
Annual Leave: 25 days per year plus bank holidays

About this role:
This is a vital role in the organisation, calling for a high calibre person who can provide administrative, secretarial and financial support to the Senior Management Team and Board of Trustees.
Duties will be wide and varied ranging from governance, committee and meeting servicing, diary management, general financial duties, health and safety responsibilities, and general administration. It requires a resilient individual who can both serve others and act on her/his own initiative, using common sense and discretion, while working to tight deadlines and the highest standards.

Key Responsibilities:
Provide organisational, administrative and secretarial support to the Senior Management Team and Board of Trustees including complex diary management
Attend meetings with the Chief Executive, Executive Producer and Producer
General management of the busy, main theatre office with responsibility for stationery and other office supplies
Take responsibility for all correspondence with Companies House, The Charities Commission and for more general compliance and governance matters
Be responsible for health and safety policies and administration for the theatre and theatre building including running regular H&S committee meetings and preparing reports for the Senior Management Team and Board of Trustees
Be responsible for general administration including insurance policies, venue premises, data protection and PRS
Update the Filemaker database system
Look after internal room booking requests and coordinate and minute the weekly building use meetings and ensure all HOD’s are informed about forthcoming activities taking place in the building
Be available for occasional evening and weekend work
Any other duties that may be required as part of the role as requested by the Senior Management Team
Person specification:
Essential:
Good sense of humour
Share the ethos and values of the theatre
Excellent communication skills, both verbal and written and for a wide range of people at different levels of seniority
Good listener and able to precis complex information
Has the ability to use own initiative, can demonstrate practical common sense, and work independently without supervision
Has emotional intelligence and emotional resilience
Good at prioritising
Able to bring a human approach to implementing policies and procedures
Understand the necessity of dealing carefully, and within data protection legislation, with confidential matters, including handling both personal and business-critical information
Perform consistently well whilst managing a diverse and, at times, extremely busy workload across flexible working hours
Basic knowledge of IT systems and networks
Competent and experienced with Microsoft and CRM database package
Is able to hold a DBS disclosure certificate
Desirable:
Experience of diary management
Experience of Board and Senior Management servicing
Qualifications in or good knowledge of Health and Safety legislation and requirements.
Degree or equivalent relevant professional qualifications
Experience of managing/overseeing the work of others
Experience of Microsoft and CRM database systems
Experience of charity governance requirements
