Job Description
We are looking for an Office Administrator for Varley’s Head Office. The ideal candidate is someone who takes pride in being highly organised and has a logical, with a can-do approach. You’ll be someone who enjoys making a difference in how an office operates, thrives in a fast-paced environment, and embraces the variety of responsibilities where no two days are the same.
As the friendly go-to person, you’ll play a key role in prioritising and coordinating essential office administration functions. Coordinating maintenance, deliveries, services, and general office supplies, ensuring everything runs smoothly across our office and the showroom.
Responsibilities
* Answer the entry phone and welcome guests.
* Ensure the meeting rooms are prepared for meetings and cleared after meetings.
* Pick up and arrange coffee, teas, water, and refreshments for the Founders and Directors ahead and during meetings.
* Coordinate meeting room bookings.
* Admin support for Business Managers and Head Office Directors.
* Ordering Gifts.
* Assist with Office Events.
* Booking and communicating with external contractors and service providers for the office and showroom.
* Ordering office supplies for the Kitchen and office, including equipment or furnishings.
* Coordinate with maintenance contractors for work required at the London Office and Showroom.
* Maintenance of office equipment.
* Managing Cleaning Services - London Office, Showroom.
* Liaising with the landlords and Managing Agents for the Office and Showroom.
* Security, Alarms - key & access issues / liaising with building security company.
* Accept and distribute deliveries and post.
* Maintain Health and safety records and support training.
* Keeping the office tidy and clear of boxes, organising office storage.
* Record and inventory of keys, fobs, and event kits for parts for the office and Mews.
* Assistance with office move.
* Act as a point of contact for London employees.
* Cultivate a positive work environment and provide support for the team’s success.
* Cultivating a cooperative workplace and supporting a positive work environment by fostering work relationships within the team and embodying Varley’s values.
Experience and Skills
* Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
* Confident Communicator
* Excellent written and verbal communication skills
* Work to budget and track expenses.
* Sound problem-solving skills and a willingness to be available
* Ability to be calm under pressure and prioritise work.
* Highly organised and detail-oriented while maintaining quality and accuracy.
* Excellent interpersonal skills
* Ability to manage time effectively.
* A good understanding of English is crucial.
* A real people person who loves getting to know our customers and building relationships with them.
