Position Overview: The Office Services Coordinator plays a pivotal role in maintaining the smooth and efficient functioning of our office. This position requires a proactive and detail-oriented individual who can manage administrative tasks, coordinate office activities, and provide support to the management team and staff alike. Key Responsibilities: Office Management: Oversee daily office operations, ensuring a clean, organised, and professional environment. Manage office supplies, equipment, and inventory to ensure adequacy and functionality. Communication Facilitation: Act as a liaison between various departments and external stakeholders. Handle incoming and outgoing communications and manage mail and package deliveries. Event Coordination: Plan, organise, and execute office events, meetings, and employee functions. Coordinate with vendors and service providers to ensure smooth execution of events. Document Management: Maintain and organise office files, records, and documentation. Assist in the preparation and processing of contracts, permits, and other construction-related documents. Technology Coordination: Assist with basic IT issues and coordinate with IT support for complex problems. Manage office telecommunications systems and internet services. Compliance and Safety: Ensure compliance with company policies, health and safety procedures, and industry regulations. Assist in implementing and monitoring safety protocols in the office. Skill Set Proven experience in an administrative or office coordination role within the construction industry is a plus. Strong organisational, multitasking, and problem-solving skills. Excellent verbal and written communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). A proactive mindset with the ability to work independently and as part of a team. Strong attention to detail and a commitment to accuracy and timeliness.
