Amazon Ads is seeking a self-driven, customer obsessed, detail-oriented Executive Assistant to support 2-3 Directors on the International Sales team. In this role, you will be responsible for keeping the organization's leaders and teams organized, informed, and on task through meticulous calendar management, scheduling, and collaboration with other Executive Assistants.
This exciting role requires outstanding planning and communication skills. The right candidate will have a strong sense of ownership, bias for action, and be customer service-oriented. Impeccable attention to detail, good judgement, and the ability to meet tight deadlines while juggling multiple requests across global teams are critical to success. As is a high level of integrity and discretion in handling confidential information and professionalism dealing with senior executives inside and outside the company. This is a Shanghai based role.
Key job responsibilities
1. Complex calendar management and coordination of high-level internal and external meetings
2. Seamlessly manage detailed domestic and international travel itineraries, as well as expense reporting
3. Manage large event logistics (in-person and virtually) including catering, accommodations, and materials (e.g. All Team events, management courses, offsites, etc.)
4. Partner closely and proactively with Finance, HR, Recruiting, and EAs throughout the Ads org
5. Attend key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items
6. Manage team space, including moves and reconfigurations
7. Improve morale, helping recognize outstanding efforts, having fun at work, and encouraging others to do the same.
BASIC QUALIFICATIONS
- 3+ years of senior level leadership support, or 1+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
PREFERRED QUALIFICATIONS
- Experience in a fast-paced, high-tech company
- Experience managing multiple calendars
- Proven ability to communicate effectively with a variety of groups including internal and external peers, partners, and senior leadership
