About Us:
We are seeking a detail-oriented and proactive Executive Assistant to provide high-level support to our client’s Sales Director, who is also a board member and shareholder. This role is critical to ensuring the smooth operation of business activities and supporting the Sales Director in their strategic responsibilities.
Position Summary:
The Executive Assistant will be responsible for managing schedules, handling complex travel arrangements, creating reports, and preparing high-quality presentations. The ideal candidate will have strong organisational skills, an aptitude for quickly learning new systems, and the ability to produce polished charts, slides, and data visualisations. This is a fast-paced role requiring professionalism, discretion, and the ability to anticipate the needs of the Sales Director.
Key Responsibilities
Administrative Support:
Manage and maintain the Sales Director’s calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
Handle sensitive and confidential information with the highest level of discretion.
Prepare, edit, and format correspondence, presentations, and reports with a strong focus on visual impact and accuracy.
Travel Coordination:
Plan and manage complex travel arrangements, including booking flights, accommodation, ground transportation, and creating detailed travel itineraries.
Coordinate changes or adjustments to travel plans promptly as required.
Ensure all travel aligns with the Sales Director's schedule and business priorities.
Reporting and Data Management:
Gather, analyse, and consolidate data for reports and presentations.
Create professional slides, charts, and visuals to support key business meetings and decision-making.
Ensure data accuracy and consistency across all reporting materials.
Communication and Coordination:
Act as a liaison between the Sales Director and internal/external stakeholders.
Screen, prioritise, and respond to emails, calls, and other communications on behalf of the Sales Director.
Organise and document meeting agendas, minutes, and follow-up actions.
Systems and Process Management:
Quickly learn and utilise new tools, systems, and software to enhance efficiency.
Maintain databases, track project progress, and monitor deadlines to ensure timely execution.
Event and Meeting Planning:
Coordinate logistics for meetings, conferences, and team events.
Arrange catering, technology setup, and prepare all required materials.
General Office Support:
Monitor office supply levels and place orders as needed.
Manage expense reports, budget tracking, and reconciliation for the Sales Director.
Qualifications
Education: Bachelor’s degree in Business Administration, or related field preferred.
Experience: Minimum of 3–5 years in an Executive Assistant or similar role, ideally supporting senior leadership.
Skills:
Advanced proficiency in Microsoft Office Suite (especially PowerPoint, Excel, and Outlook).
Proven ability to plan and coordinate complex travel arrangements.
Exceptional organizational and time management skills.
Strong ability to create and format professional presentations, slides, charts, and reports.
Excellent communication skills, both written and verbal.
Quick to learn and adapt to new systems and tools.
A proactive mindset with a problem-solving approach.

Work Hours: Monday to Friday, 7:30 AM – 4:30 PM (3:30 PM finish on Fridays).
Holidays: 23 days plus Bank Holidays, with an additional day per year of service (up to 5 additional days).
