Line Manager: Business Operations Manager
Overview of Role: Maintain financial records, working with our external accountants to prepare accounts payable and receivable, whilst recording, checking and reporting financial data and delivering high-quality internal and external customer service.
Location: Hybrid (working from home and the Worcester or Birmingham TDM Office when required)

Core Responsibilities (Right Seat):
1. Monitor and respond to emails in the Finance Inbox.
2. Analyse and reconcile Apprenticeship and Skills programme finance data and payments.
3. Raise invoices in the TDM finance system (Xero) to be sent to employers.
4. Process and send out employer incentive payments to eligible employers.
5. Process customer orders, preparing quotes and sending out invoices, whilst maintaining accurate records.
6. Upload invoices for TDM to pay onto Xero, ensuring documentation is available to evidence VAT claims.
7. Reconcile payments made in Xero.
8. Perform credit control to ensure timely payments.
9. Process refunds as required.
10. Support the external accountants and our managers with finance queries.
11. Work with the external accountants to produce accurate quarterly and end of year accounts.
12. Liaise with the external payroll company and Business Operations Manager to prepare payroll payments each month.
13. Check and report on payments from funding bodies and correct any errors on documentation that impact on income. Liaise with the funding authorities in respect of any queries.
14. Support the Business Operations Manager and wider management team with budget reporting, cashflow analysis and forecasting.
15. Utilise the funding calculator to prepare financial reports and forecasts for governors, managers and directors on a monthly basis and as required.
16. Produce the monthly financial report to include three monthly forecasts and an overview summary.
17. Work with managers to create, monitor and report on budgets for their departments.
18. Manage staff expenses in line with the Expenses policy.
19. Undertake general administrative duties, including, but not limited to: the ordering of stationery, marketing collateral, exam licences, couriers etc; answering incoming TDM phone calls; arranging car parking spaces for visitors; booking hotels and venues for team events; supporting with the organisation of learner events, such as Graduation.
20. Ensure general office supplies are always at an adequate level.
21. Work with the Business Operations Manager to ensure TDM is getting value for money on contracts/purchases.
22. Complete all financial tasks in compliance with the rules and regulations of funding bodies, always being ready for any audits.
23. Follow the code of conduct and provide excellent customer service internally and externally, using varying methods of communication, including phone calls.
24. Any other duties as directed by your line manager and/or a director.
25. Compliance with all TDM policies, procedures and legal responsibilities, including ISO9001, Confidentiality, Data Protection and Cyber Essentials.
Ideal Candidate:
* An individual with a passion for finance and customer service.
* AAT qualified, or part qualified CCAB accountant; or able to demonstrate an equivalent level of knowledge through considerable experience.
* Relevant experience of working in a generalist finance role.
* Experience working with a finance system (experience with Xero is beneficial but not required as full training will be provided).
* Advanced Excel skills.
* Ability to deliver against TDM values and communicate with individuals from various backgrounds and in a variety of different roles.
* Attention to detail and the ability to multi-task.
* Having a background in the apprenticeship, adult learning, or job sector is advantageous but not essential.
