We are seeking an experienced and highly organised Estates, Facilities and Project Manager Coordinator on a temporary basis 2 to 3 days per week to oversee and streamline administrative operations and project coordination activities. The ideal candidate will bring extensive experience in corporate and healthcare environments, adept at managing office resources, supporting senior project managers, and ensuring smooth project delivery. Key Responsibilities: - Create new departmental electronic filing system and moving forward manage online and paper filing systems, ensuring accurate record-keeping. -Assist in updating departmental policy and procedures -Working on updating hospital fire plan and associated drawings -Work with consultants and contractors in regards to pulling together updated/current Estates Asset List - Assist in the creation of Estates Planned Preventative Maintenance Schedule - Coordinate and assist commercial and construction teams in project activities - Track project progress and maintain updated master documents, reports, and trackers. - Conduct regular health and safety checks and arrange necessary training (e.g., Fire Warden, medical gas etc) - Manage office relocations, including planning, coordinating with vendors, and ensuring minimal disruption. Qualifications and Skills: - HNC Qualification and PRINCE2 certified. - Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and document control software. - Demonstrated ability to multitask, prioritise, and handle pressure. - Strong communication and organisational skills, with a track record of building relationships across all levels of an organisation. - Highly detail-oriented, with a focus on accuracy and efficiency. Preferred Experience: - Proven experience in administrative and project support roles within corporate or healthcare sectors.
