Paediatric Diabetes Administrator/Healthcare Assistant

We are seeking someone who is passionate about paediatric diabetes and achieving optimum health outcomes for all children, young people, and their families living with this long-term condition to join the STSFT Children and Young Peoples Diabetes Service. The successful candidate will assist registered professional staff and colleagues in providing high-quality care, in an environment appropriate to their needs, ensuring that privacy and dignity is maintained at all times.
Service performance and outcomes are continuously measured against NPDA, peer review measures, and best practice tariff criteria. We fully participate in the NPDA and are able to benchmark ourselves against similar services. We are active participants in the regional paediatric diabetes network and the RCPCH Paediatric Diabetes Quality Programme. We are enthusiastic adopters of all diabetes technologies and have an active, effective QI programme. For many years, metabolic outcomes for our children and young people have been amongst the best in the country. This role will involve supporting the team to achieve this.
The role will involve travel during working time; the successful applicant must be able to meet the travel requirements of this post.

Main duties of the job
* Manage spreadsheets to meet the information requirements of Best Practice Tariff, National Paediatric Diabetes Audit and to keep the team updated with relevant information. Track all patients' progress, identifying any omissions to bring to the attention of the team. Provide updates by interrogating and interpreting data spreadsheets to create reports for internal/external use.
* Deal with phone and email enquiries.
* Prepare clinics, booking and cancelling appointments/clinics.
* Support the team with the production of the annual report and operational policy.
* Support the team to design, produce, and distribute patient information newsletters and events.
* Organise and provide admin support for MDT meetings, education sessions, medical reps, and prepare relevant documents.
* Ensure stock levels are maintained.
* Clinical element - Working in the Children's Diabetes Clinics or service alongside team members.
* Downloading diabetes devices, HbA1c testing, setting up and troubleshooting tech accounts, phones, etc.

Job responsibilities

* Communicate with all members of the Diabetes Team and with others within the organisation.
* Participate in and provide administrative support for the MDT meetings.
* Answer queries from patients and their families, redirecting enquiries to the appropriate person within the Diabetes Team.
* Support the team with the design, production, and distribution of patient information newsletters and advertising of events, ensuring that these are regularly updated.
* Greeting and receiving patients, carers, and other visitors in a courteous manner, always keeping them informed and providing help appropriate to their needs.
* Preparing admission and information packs, as and when appropriate, and ensuring the wards have the information they require for newly diagnosed children/young people with diabetes.
* Providing and receiving messages accurately and in a way that is understood by the recipient, referring issues to the appropriate person where necessary. This could be face to face, in writing, or verbally and involve the use of faxes, photocopiers, and computer systems.
* Deal with telephone enquiries and electronic mail, supporting the team with all communication on a daily basis.
* Reporting information received from the children/young people, their parents/carers, and others which seems appropriate.
* Document patient information as appropriate, entering and retrieving information via the computerised hospital information, as permitted by the role.
* Ensuring that the team are up to date with relevant information regarding their patients to ensure compliance with Best Practice Tariff.
* Ensure specialist indicators are placed on patient Bulletin Boards as appropriate.
* Updating and tidying notice boards and patient information/leaflet racks as necessary.
* Attending Children's Diabetes Team meetings, and contributing to discussions about improvement to the Service.
Person Specification
Qualifications
* Level 2 literacy & numeracy GCSE Maths and English C or above, or equivalent.
* NVQ Level 2 qualification in health and social care/business and admin/customer care or equivalent in any subject.
Skills and Knowledge
* Ability to communicate messages and instructions accurately to colleagues, both verbally and in writing.
* Ability to maintain and use databases.
* Prioritise workload and meet daily, weekly & monthly deadlines consistently.
* Know the importance of good infection control practices; health and safety and risk management issues.
* Knowledge of professional and ethical issues, including professional boundaries, clinical governance, and safeguarding children's policies and practice.
* Ability to communicate effectively at the appropriate developmental level of the child/young person.
* Good keyboard and basic computer skills including use of Microsoft Word and Excel.
* Basic skills of empathy and reassurance.
* Basic understanding of confidentiality requirements in a healthcare setting.
* Willing to undertake further training related to the role.
* Willing to complete competency-based assessments and a portfolio of evidence, in order to achieve the care certificate.
