Job Title: Facilities Assistant
The Facilities Assistant reports to the Team Leader or Senior Assistant and is responsible for supporting the delivery of efficient facilities services. This role serves as the initial point of contact for the Facilities department. Candidates must demonstrate high security awareness, knowledge of emergency evacuation procedures, and Health & Safety standards.

Key Responsibilities
* Manage daily locking/unlocking of CDL properties and respond to off-site building access requests.
* Promote pride within the facilities team through proactive and reactive support.
* Prepare for Health & Safety and Environmental audits, ensuring all checks are completed and issues are addressed.
* Deliver high-standard Facilities Management services, seeking continuous improvement opportunities.
* Assist with fleet management, including vehicle checks, reporting issues, and organizing hire cars for clients.
* Oversee external contractors (cleaning, maintenance, catering, pest control), ensuring SLA and KPI compliance.
* Conduct daily building and meeting room checks, resolving issues promptly.
* Manage stationery orders and consumables procurement.
* Support office moves and general ad hoc projects within the facilities team.
* Identify furniture replacements as needed.
* Organize meeting room setups and act as liaison with departments and contractors.
* Verify contractor compliance with health and safety requirements and record activities.
* Ensure contractors maintain cleanliness and safety standards.
* Assist with administrative tasks for the Facilities Manager and team.
* Liaise with service providers for activities like recycling and courier services.
* Manage contracts and suppliers to ensure service quality.
* Perform health and safety duties, including risk assessments and contractor monitoring.
* Attend relevant training sessions as directed.
* Maintain property condition, including cleaning, grounds, DIY tasks, and using site equipment.
* Coordinate with security contractors to ensure site security.
* Support environmental initiatives, including recycling data management.
* Conduct building fire drills, organize safety training, and maintain fire marshal systems.
* Adhere to procedures for purchase requisitions and invoices.
* Maintain appropriate and current site signage.
* Demonstrate security awareness and knowledge of emergency procedures.
* Cover reception duties, including answering phones and managing requests.
* Assist with event setups, both onsite and offsite, including equipment transport.
* Support departmental requests, especially for finance and engineering teams, via ServiceNow.
* Drive minibus for client pickups and drops, including use of Tesla for airport/train station transfers.
* Handle special requests such as volunteer travel and presentation support, including overnight stays.
Skills, Knowledge, and Expertise
* GCSEs in Maths and English
* IOSH or other health and safety certifications preferred
* Experience in facilities management
* Proficiency in Microsoft Office, especially Excel and PowerPoint
* Knowledge of mechanical and electrical services (M&E)
* Strong external relationship management skills
* Understanding of purchasing, invoicing, and procurement processes
* Full clean driving license and physical fitness
* SIA Level 1 security certification beneficial
