Job Overview
The post holder will contribute to the administrative functioning of the wheelchair department and actively assist the multi-professional team in the provision of a quality service. The post holder will assist in the ongoing administration of the department, booking of appointments, creation of work orders and co-ordination of the care pathway and waiting lists.
Main duties of the job
* Liaise with patients, making and taking phone calls to book and change patient’s appointments. Provide patients with information regarding their appointment.
* Liaise with medical and admin staff, reps and suppliers in the confirmation of booking for our clients and coordination of equipment.
* Undertake all the administration required for patient appointments, scheduling and planning clinics with external and internal clinical staff.
* To monitor and assist in preparing data regarding the care pathway and RTT performance on a monthly basis.
* Book patients within trust and government waiting targets and escalate to the team leader/performance & operations manager with any problems.
* Support the management of the waiting lists for the clinicians. This involves adding patients to the lists, allocating appointments and liaising with the relevant medical staff.
* Input and maintain client and equipment information on the wheelchair and special seating database.
* Convert manual clinical notes and equipment prescriptions into orders and input detail onto the computerised system.
* Liaise with professional and clinical staff within the service to discuss queries and action as required.
* Raise purchase orders for client equipment, following all authorisation and approval processes.
* Support professional staff by recording and retrieving clinical information.
* Respond to enquiries by telephone or visitors to the wheelchair service. Offer information when requested and, where possible and appropriate, take action to respond to queries directly.
* Record clinical outcome codes onto the database.
* Undertake general office and clerical tasks e.g. receiving faxes, actioning as appropriate, photocopying and setting up and maintaining the filing system.
* Crossover with other administrative staff and department receptionist as required for any periods of sickness and annual leave.
* Undertake other duties as necessary to support the smooth running of the service and as dictated by your manager.
* The post holder will need to effectively communicate and liaise well with all multi-professional staff working within the department, and across other hospital sites, nursing homes and schools.
Person specification
Essential Criteria
* GCSE English or equivalent
* At least 3 years’ experience in an administrative role
* Understanding of waiting list management
* Excellent communication and interpersonal skills, confident and articulate telephone manner.
* Organisational skills including meticulous attention to detail, managing and prioritising own workload and working to tight deadlines
* Ability to project a professional, responsible image i.e. manner and telephone skills
* An understanding of the importance of confidentiality
* Ability to work unsupervised and on own initiative. Self-motivated
* Experience of working within a team and able to work with people at all levels
Desirable criteria
* Previous NHS experience
* Awareness of the Trust's policies and procedures for patient access
* Awareness of the trust and government waiting time targets
