We are seeking a dedicated and enthusiastic HR Advisor to join our small Finance & HR team at The Pilgrims’ School, reporting to the Director of Finance & Resources. We are a leading, selective, day and boarding boys’ prep and double choir school, set in the beautiful and historic Winchester, city centre. We are a vibrant, lively school where boys aged 4 to 13 are encouraged to find their passions and nurture them.
The ideal candidate will play a crucial role in facilitating effective HR within the school. The role would suit an individual who is looking to grow their career in human resources while contributing to a positive workplace culture. The individual has previously worked in an HR Assistant or Advisory role, ideally within a school setting and has been responsible for all areas of HR administration as well as providing advice on HR related issues in line with ACAS and ISBA guidelines, when required.
This is an all-year-round role; working 30 hours a week (Monday to Friday), 9.00am – 3.30pm, however, there is some flexibility on start and end times during the day with the ability to work from home at times, during the school holidays. We are open to discussing flexible working options with candidates.
Key Areas of Responsibility
HR Administration
1. Prepare all HR documentation such as letters and employment contracts.
2. Maintain accurate and up-to-date employee information in various spreadsheets and the iSAMs database and generate reports as required.
3. Provide a first point of contact for all staff HR queries, liaising with the Director of Finance & Resources and Headmaster as required.
4. Provide advice to managers and staff, in line with ACAS and ISBA (Independent Schools’ Bursars Association) guidelines.
5. Have a clear understanding of the School’s policies and procedures to advise staff e.g. family leave entitlements and processes. Update policies as required.
Recruitment
1. Manage the administration of the recruitment and selection process.
2. Manage and ensure the Single Central Register is accurately and properly maintained.
3. Prepare job brochures and job adverts.
4. Schedule and co-ordinate interview timetables and conduct referencing.
5. Complete staff onboarding including the completion of all pre-employment checks.
Payroll Processing
1. Work closely with the Finance Manager to ensure the accurate and timely processing of monthly payroll.
2. Collect all timesheet information for processing with payroll.
3. Support the Director of Finance & Resources and Finance Manager during the annual pay review cycle by producing and distributing staff pay letters.
Learning & Development
1. Ensure all induction and mandatory training is undertaken by the relevant department and tracked accordingly.
2. Ensure induction for new joiners is completed.
3. Support the administration of the appraisal system for staff (Teaching and Non-Teaching) and to support the successful completion of the cycle.
Office Administration
1. Provide administrative support to the Finance team, when required.
Skills
1. Previous experience working within an HR role.
2. Experience of working in a school would be preferable, but is not essential.
3. Highly skilled and proficient IT skills, including Microsoft Office, Word, Excel.
4. Excellent organisational skills with the ability to manage a busy workload, adapt to school needs and adjusting deadlines.
5. Understanding of ACAS and ISBA guidelines.
6. Excellent written and verbal communication skills; adept at building effective relations across the school.
Hours
1. Reporting to Director of Finance & Resourcing.
2. To start asap.
3. This is a part-time position requiring 30 hours of work per week, year-round, Monday through Friday.
4. Salary £30,000 - £35,000 FTE (actual for 30 hours £22,500 - £26,250). Depending on experience.
5. The part-time working hours will be 9.00am and 3.30pm. Including a half an hour unpaid lunch break.
