Team Assistant within Estate Research required to work for a fast-growing company in Wigan, Greater Manchester. Established in 2001, our client works with both private clients and the public sector to locate missing Next of Kin and beneficiaries to an estate. They are now one of the country’s largest genealogists/heir hunter firms and due to substantial organic growth, are looking to recruit a Team Assistant.
Day to day tasks:
1. Taking & forwarding calls (or taking messages).
2. Creating and updating cases on the company case management system.
3. Ordering certificates from GRO or local register.
4. Completing divorces, probate and certainty will searches (including making payments & tracking).
5. Updating Solicitors/Councils on case progression.
6. Producing correspondence for the Case Managers:
1. Certification mapping as & when requested.
2. Ordering certificates as & when requested.
3. Produce digital trees, mailing list, & family history report.
4. Send approach letters & agreement as & when requested.
7. Creating digital reports to be sent to clients, using FlipSnack software.
8. Data cleanse all systems to ensure an accurate database is up to date at all times for Marketing purposes.
9. To undertake any ad hoc duties for the MD, Heads of Department, or the Marketing team.
10. Research and retrieve data from a number of external sources, using findings to input and cleanse data using Salesforce and internal CRM system.
11. General Admin tasks including dealing with post and filing.
The ideal candidate will have/be:
1. Degree educated with a minimum of 2-3 years post-graduate work experience within a professional office environment.
2. Ultra-organised and possess strong communication skills including a good telephone manner.
3. An excellent grasp of the English language and neat, clear handwriting.
4. Geographical knowledge of towns, cities and counties in the UK.
5. Basic knowledge of Microsoft systems.
6. Able to manage large workloads working to tight deadlines.
7. An exemplary sickness & punctuality record.
8. A proven team player.
9. Able to work as part of a team and also independently.
10. Proactive in problem solving but know when to ask for help, not being afraid to ask for advice in a busy office environment.
