The Office Services Team Office Services is part of the Business Services team and are responsible for the day to day running of all of the Knights offices with a core central team and, unlike the other operational teams, also have Office Hosts in our offices providing local representation.
Job Description – Office Host The role of Office Host is to deliver a premium experience locally to all those within the office environment.
This is achieved by providing support to colleagues and hospitality to guests by actively encouraging the maintenance, and development, of the Knights culture and standards by creating a positive, support and respectful environment for everyone.
As an Office Host, you will report into the Group Front of House Manager and work with the supervision and co-ordination of the central Office Services team to provide local support for all activities taking place within the office including: Being an ambassador for Knights, welcoming all guests into our office, ensuring they are given a warm welcome by meeting guests at the door, taking their coats, offering refreshments and ensuring their comfort during their time with us Working independently or (where relevant) in tandem with another Office Host to oversee hosting of the office in accordance with Knights policies and practices which include: Ensuring a tidy working environment is maintained including a clear desk policy Keeping appropriate levels of stock of consumables and stationery by placing regular orders with the central procurement team Working with the Hospitality team to ensure events/lunches are set up appropriately and run smoothly, ensuring any requests made to you are redirected correctly Setting up meeting rooms appropriately with refreshments and ensuring these are refreshed as and when required Dealing with post
- opening and distributing incoming post and parcels; and ensuring that outgoing post is sent on time each day Welcoming new joiners – orientating them around the office, making appropriate introductions to colleagues, ensuring their comfort in the office by offering refreshments, assisting with IT issues such as logging in on their desk phones, docking laptops and using printers as well as informing them of key features such as fire exists, bathroom locations and tea points Conducting regular floor walks around office to ensure that printers are always filled with the appropriate consumables Performing general housekeeping throughout the office during the day ensuring that everywhere is neat and clean with crockery being restocked as appropriate Liaising with the central Office Services team to support colleagues with all operational issues including maintenance, booking of couriers and meeting room booking Being the primary operational support within your office, supported by the central Office Services team to undertake a variety of operational tasks Working with the Office Services Projects Manager to produce and update office seating plans periodically Hosting local events and presenting food, beverages and specialist catering within the office Reporting maintenance needs and overseeing contractors Acting as the local representative for all other Business Services teams (IT, HR, Compliance, Data Management, Finance, Facilities) in each of the offices Working alongside the Hospitality team Undertaking stock checks to ensure maintenance of suitable levels of stationery and other consumables Providing reports to the central team Skills / qualities required Presentable and personable, front of house, strict dress code, position is uniformed Attention to detail Have excellent written and verbal communication skills Flexibility, this position can occasionally require early starts (8am) or later finishes (6.30pm) when there are events IT literate, Microsoft Word, Excel Willing to go above and beyond
