Job Description:
As the company continues to grow and evolve, we are hiring an office based (80%) Finance Assistant and Payroll Lead, reporting to the Finance Manager, to ensure accurate financial transaction recording and monthly payroll execution.
Key Responsibilities:
The position has two components:
1. Support to the broader finance team regarding accounts receivable and debt collection, and accounts payable
2. Full responsibility for the delivery of payroll for 200 staff, of whom around 180 are hourly paid, with the remainder being salaried.
1. Finance Assistant:
For specific AR/AP accounts:
* Monthly sales invoice creation and distribution
* Reconciling accounts receivable (debtors) matching cash and bringing them up to date.
* Chasing outstanding debts
* Daily bank transactions and bank reconciliation
* Dealing with unallocated and misallocated payments
* Providing copy documents, including invoices and statements
* Working with internal departments to resolve aged debt issues.
* Assisting with balance sheet reconciliations
* Supplier invoice processing
* Match payments to open invoices
* Payment of suppliers via bank transfer
* Processing payments every two weeks in accordance with supplier’s payment terms
* Deal with supplier invoice queries
* Regularly review Aged Creditors reports
* Ensure compliance with Finance Month End timetables
* Ad-Hoc Reporting and Analysis including providing information as requested for year-end audits
2. Payroll Lead:
Delivery of monthly payroll for 200+ staff.
* Accurate and timely delivery of payroll
* Importing payable hours, commissions, bonuses, taxes, and deductions
* Maintaining and updating payroll records including processing new employees, promotions, and terminations and change of personal details
* Answering employees' questions and concerns regarding payroll
* Issuing statements detailing earnings and deductions
* Issuing and delivering pay slips to employees
* Investigating and resolving payroll discrepancies
* Monthly and annual submissions to HMRC
* Preparing periodic payroll reports
* Provision of information to external advisors for tax and insurance
* Support HR and Operations on TUPE transfers ensuring accurate payment of transitional payrolls
Requirements:
* Attention to detail and discretion are pre-requisites, particularly regarding payroll
* 2-5 years finance and payroll experience
* AAT preferred
* Positive character with the drive to investigate, understand and resolve issues
* Demonstrated ability to work as part of a finance team and improve processes
* Strong Excel skills
* Understanding of VAT recovery processes
