Department Description
IT Services are looking for a Personal Assistant to provide administrative services to the IT department and managers while the Senior Secretary is on maternity leave.
You will support the department and its managers in managing travel bookings and providing a general administrative service to the staff.
Job Description
* Collating the travel needs of IT staff and senior managers.
* Researching the best travel options that balance the needs of the staff member with the best cost.
* Reading and responding to email requests.
* Typing meeting minutes and other documents when required.
* Managing electronic diaries for Senior members of staff.
* Answering and making phone calls.
* Arranging catering for meetings when required.
* Submitting approved on call for NL staff to HR NL for processing.
* Collating on call and planned overtime for UK based staff, requesting approval, and submitting to HR UK.
In this position your key responsibilities will be:
* Manage diaries of executive and senior managers.
* Provide support to the IT department.
* Work with all IT staff and senior managers.
* Be proactive in finding suitable solutions.
* Collate information associated with travel and other ad-hoc requests from managers and staff.
* Gather and analyse information and use this data to formulate decisions.
* Support office and facilities management for Cardiff Office ITS Floor.
The ideal candidate will have the following profile:
* An understanding of working in a corporate office environment.
* Ability to handle and perform in stressful situations.
* Proficiency in Microsoft applications such as Outlook, Word, PowerPoint and Excel.
* Excellent communication skills (spoken and written).
* Ability to analyse data and work in a fast-paced environment.
* Problem solving, analytical, and time management skills.
* Travel to Cardiff and flexibility of working hours will be required in support of the duties of the role.
