Job Overview
At Lasered Components, we are seeking a detail-oriented and organised Order Administrator to join our Auditing team. The successful candidate will be responsible for auditing all orders from the Sales department, checking for any errors that need to be amended prior to order being released into production for planning. Ensuring all orders are exported across to production team in a timely manner and to liaise with the Sales Manager / Production Manager in relation to time sensitive orders and higher volumes of orders.
Duties
* Audit each order coming from the Sales department to establish that all details are correct before releasing to production.
* If any errors are identified, reject the order, hold open discussions directly with the Sales Estimator, raise queries and investigate what needs changing so that the order is processable.
* Maintain a log of errors identified, track recurring issues, and report on trends to assist in improving order accuracy.
* Ensure all relevant information is present within the e-folders and remove all non-relevant information. Ensure that all aspects of the job folder are auditable.
* Check job number and customer name are correctly allocated.
* Ensure that “on stop” customers do not receive production orders, proactively identifying conflicts and raising concerns.
Liaise with accounts department regarding pro-formas and proceed with order when payment confirmation received.
* Liaise with production regarding prioritisation of jobs, e.g., whether a specific material or thickness is required before any others.
* Print directly to production all checked job sheets via the automatic printing folder and export the order via the export jobs app.
* Help resolve any questions/queries regarding enquiries when required.
* Keep a record of jobs pending a query resolution and chase up with the Estimator if necessary. Apply pressure and re-chase when the queries have not been addressed within 24 hours.
* Support the training aspect of the Sales department with fluid communication, cross training, and feedback on reoccurring issues.
* Ensure all records, such as job folders, are organised and compliant with GDPR and copyright policies.
* Participate in any other ad-hoc internal projects to improve lean working processes.
Requirements
* Good organisation skills and capable of working quickly and accurately under his/her own initiative in a busy, high pressure sales office environment.
* A confident, self-motivated team player, who is aware of their role within the team.
* Being comfortable and able to communicate effectively.
* Strong problem-solving ability and experience of seeing solutions through to completion.
* Having the ability to read technical drawings.
* Excellent time keeping.
* A good listener who can understand and evaluate the needs of the business.
Desired Experience and Qualifications
* Microsoft Office Suite: Advanced-user level.
* Sigma Software / CAD / MRP Systems: Experience with these tools is an advantage.
* Sales Knowledge: A strong understanding of the sales process, particularly within a manufacturing or production environment.
* GDPR and copyright inhouse knowledge.
