Relief Clerk, Band 3 - Women's and Children's

Part-time cross site position 25 hours a week - (Mon - Fri)
To provide clerical and reception cover for wards, administration and clerical support to the Ward Sister/Charge Nurse and Nurse in Charge and to enter and maintain ward clinical data for a range of defined clinical systems.
This position will entail working across and travelling to all Cheltenham, Gloucester and Stroud Hospital Sites in own time. This is not a working from home position.
The proposed interview date is 9th December.
Main Duties of the Job
Skills in these areas would be desirable; however, full training will be given including other relevant Trust training:
1. Ability to work in a team and independently
2. First line quality assurance of paper health records prior to entry onto Infoflex
3. The first line quality assurance of scanned images of records entered into Infoflex and CRIS
4. Adhere to the standards set out in the Trust's Scanning and Quality Assurance of Health Records Procedure
5. Scan set number of documents as requested by Lead Administrator on an ad hoc basis
6. Customer care skills
7. Effective communication skills across all disciplines of staff, patients and public
8. Knowledge and understanding of confidentiality and data protection in accordance with Trust policy and procedures
9. Able to communicate effectively, and act appropriately and quickly in an emergency
10. Experience in using a PC
11. Essential experience of Trakcare and Badgernet to ensure that tasks can be undertaken according to Trust policy and national standards
12. Knowledge and understanding of the Trust including a basic knowledge of roles in other areas
13. Some knowledge of specialty terminology and flexibility to support another specialty if required

Job Responsibilities
1. Demonstrate excellent customer care skills. Provide a welcome point for the ward, responding to patient, staff and visitor requests appropriately.
2. Booking appointments and antenatal reception cover.
3. Analyse and deal with routine non-clinical problems, following Trust policy and using own initiative to ensure a seamless support service in the clinical area enabling staff to perform in their own roles effectively.
4. Receive queries, both in person and on the telephone, and manage appropriately.
5. Prioritise work, ensuring support for clinical staff is always available for the efficient delivery of patient care.
6. Assist ward nurses with discharge process, e.g., updating Trakcare, Badgernet and transport bookings.
7. Obtain notes, in routine and emergency situations, ensuring clinical staff have access to essential information in a timely fashion.
8. Filing of all patient documentation generated on the ward, ensuring that notes are up to date and accurate when used by Clinicians.
9. Tracing all notes in and out, to ensure notes can be obtained from anywhere at any time in case of clinical need, maintaining data protection and confidentiality according to Trust protocol and procedure.
10. Accurate input of patient details including bed status on Trakcare system, ensuring follow-up appointments and procedures have been booked to meet Trust and national requirements.
11. Working Knowledge of routine for ordering on P2P and Stationery system.
12. Ensuring all information is input into Infoflex accurately.
13. Provide all general and ad hoc administration and clerical support to the Ward Clerk Manager or Senior Nurse in Charge, to enable efficient and safe delivery of clinical care, as appropriate to the Ward Clerk role.

* NVQ 2 or equivalent
* GCSE English Grade C or above or Grade 4 or above
Experience
* Has worked in a busy office environment
* Demonstrate good written and verbal communication skills
* Use own initiative and manage time effectively
* Knowledge of Trust Database systems
