Job Summary
Coordinator II – Logistics and Trade Compliance is responsible to administer logistics and trade compliance function and its requirements to ensure highly efficient and effective cargo movement for Global Operations.
Principal Duties and Responsibilities
1. Administers the company’s import / export compliance program. Works with the Logistics and Trade Compliance group to ensure controls are in place that comply with the company’s legal and regulatory obligations.
2. Provides assistance as applicable, emergency shipments, customs questions, missing supplier documents or information, to avoid the loss of time due to time difference between all global locations.
3. Mobilizes and manages internal and external logistics resources to ensure on-time and accurate deliveries of required materials at lowest total cost.
4. Monitors worldwide Import operations related to the UK, Europe, Norway & Africa and / or area of responsibility.
5. Use of AI to effectively produce data sets required to satisfy RGR imports from UKCS.
6. Endeavour to find new ways to improve efficiency and streamline logistics processes.
7. Provides responsive logistics services for emergency situations.
8. Manages world class vendor relationship management practices for logistics providers.
9. Identifies inefficiencies and areas of growth within current distribution network to continuously improve the balance between the level and cost of service.
10. Manages and reduces logistics cost via freight rate benchmarks, freight consolidations opportunities, process flow reviews and assist with annual freight rate negotiations.
11. Maintains daily follow-up of Export & Import files and insure efficient, cost effective and timely delivery of the material to the final destinations.
12. Controls documents necessary for the importation and for exportation in the various countries (invoices + packing list + certificates of origin, etc) interfacing with freight forwarders / carriers.
13. Keeps a close follow-up on all kinds of issues, mainly customs and tax exemption (UKCS import/export charges, international imports, VAT exemption etc)
14. Assists with special projects in terms of budgeting logistic costs, clarifying procedures.
15. Interfaces for all variety of issues between forwarding agents / shipping agents / customs brokers / packers / carriers / rigs or area offices.
16. Audits freight forwarders / customs agents / brokers regarding the record keeping of Customs Import and Export documents and their compliance with local regulations.
17. Ensures customs rules and regulations are complied with by each supplier delivering equipment to freight forwarders for onward shipping.
18. Provides assistance and follow-up for all equipment Imported under the Temporary Importation Status within area of responsibility.
19. Coordinates with Trade Compliance department. and make sure that all equipment is % in line with customs and tax rules and regulations.
20. Administers the company’s import and export compliance program.
21. Attends Operations meetings for planning purposes.
22. Weekly monitoring and execution of On Hand Reports with aligned OSD recovery and KPI measurements.
23. Identifies inefficiencies and areas of growth within current distribution network to continuously improve the balance between the level and cost of service.
24. Attends Monthly Governance Meetings with the Freight Forwarders.
25. Expands the knowledge, assistance on EUM Region for the customs, compliance, agent’s aid scope as and when required.
Qualifications / Experience
26. Bachelor’s degree required
27. Minimum years of logistics experience in oil and gas or freight forwarding essential
28. Experience with using Microsoft Copilot preferred
Skills & Experience
29. Available and willing to travel within the area of responsibility and with such frequency as the employer determines is necessary or desirable to meet its business needs.
30. Ability to gather and analyze/synthesize data, confirming its accuracy and adequacy as an integral part of the collective analysis/synthesis process.
31. Excellent written and verbal communication skills.
32. Willingness to adapt to using AI as part of the daily work scope.
33. Ability to communicate effectively across different levels of organization, departments as well as across different cultures.
34. Solid understanding of the legal aspect of Incoterms and trade compliance requirements of suppliers for import and export transactions.
35. Preferred knowledge of drilling equipment for offshore drilling environment, including knowledge of key suppliers, industry specifications and standards.
36. Ability to respond quickly and appropriately in a dynamic work environment.
37. Ability to multi-task and establish priorities.
38. Working knowledge of Microsoft Excel at an advanced level (use financial and logical functions; work with multiple worksheets and workbooks; edit and use macros; import and export information).
39. Ability to manage different logistic projects at the same time and meet deadlines.
40. Ability to obtain, compare and discuss all kinds of transport and handling rates within the area of responsibility.
41. Demonstrated negotiation skills with ability to influence and effectively lead and resolve issues.
42. Maintain flexible attitude and approach towards assignments and successfully operate under ambiguous guidelines.
