Grant Making and Operations Coordinator
The role of Grant Making and Operations Coordinator will be to provide a range of support activities to the Operations Manager to facilitate the continued high-quality delivery of the Adsum Foundation grant making function and the general operations of the organisation. As this role will encompass a varied range of activities it will require a well organised individual with a growth-mindset to join a small but effective team.
Job Title: Grant Making and Operations Coordinator
Location: Office based at 4 Annadale Avenue, Belfast BT7 3JH
Terms: Permanent role (subject to six-month probation period)
Salary: Full-time equivalent of £24-29K (dependent on experience)
Hours: Part-time, negotiable in the range of 14-24 hours per week over 2+ days
Benefits:

Reporting to: Operations Manager
Key Duties
General Administrative Tasks:
1. Assisting with ensuring efficient processes are in place for evidencing, instructing, and monitoring grant payments.
2. Maintaining and updating grant partner and general operational records and reports.
3. Assisting with the regular review and development of organisational standard documentation and systems.
4. Supporting the Board, including handling aspects of the meeting lifecycle.
5. Data Protection Officer responsibilities.
6. Maintaining office equipment and supplies.
Grant Making and Operations Coordination:
1. Provide support to the Operations Manager regarding the delivery of grant-making activities; assisting with ensuring that high-quality and proportionate project management is in place across our portfolio of grant giving projects, that funders receive the updates and information they need, and grantees are well supported and able to deliver to their objectives efficiently.
2. Act as a point of contact to a range of stakeholders, responding to emails and phone calls in a timely and professional manner.
3. Assist with the due diligence process of prospective grant partners.
4. Receipt & collation of grant applications and monitoring & evaluation reports; supporting the Operations Manager with the review of project outcomes, and where applicable, propose, agree and implement changes.
Communications:
1. Production of visually attractive and accurate presentation of reports and data.
2. Updating of the website, social media platforms and promotional materials.
3. Assistance with event planning and delivery.
4. Attendance and participation in internal and external meetings as required; representing the foundation as required.

Person Specification
Essential Experience, Skills & Abilities:
1. Minimum 2 years administrative experience.
2. Minimum 5 GCSEs (A-C) or equivalent.
3. Good numeracy, oral and written communication skills.
4. IT literate with demonstrable experience of Microsoft Office, including Word and Excel.
5. Sound planning & organisational skills.
6. Ability to report with accuracy and attention to detail.
7. Ability to develop and maintain working relationships with a variety of stakeholders.
8. Motivated to learn and develop personally.
9. A proactive and professional attitude to work.
Desirable Experience, Skills & Abilities:
1. Experience in the charity/third sector, including paid, placement or voluntary.
2. Experience/interest in developing skills in using various software platforms, relevant examples for this role include Facebook, Canva, WordPress and Arc GIS.
3. Experience/interest in developing skills in Data Protection Officer Responsibilities.
