Soft Landscaping and Maintenance Manager Needed
Location: Split between office (LU7 0AN) and Sites (London, Berks, Surrey, Bucks, Beds, Ox, Cambs, Suffolk)
Salary: 35K per year
Job Description:
1. Manage teams on a daily basis to ensure that they work safely and maintain high standards of work.
2. Proactively identify and resolve site problems, complaints, or difficulties.
3. Manage all subcontractors on their sites ensuring that works are carried out safely, to agreed standards, and are profitable.
4. Raise/check staff time sheets weekly and submit to accounts and agency on a Monday.
5. Raise and update maintenance schedules in line with contract, BoQ, specification, and drawings.
6. Organize labour resources (Direct, Subcontractor, and Agency) efficiently, allocating work schedules with due consideration for staff skills, training, qualifications, and experience.
7. Manage staff, including behavior, workload, quality, tasking, hours worked, holiday, sickness, and absenteeism (monitor using Bradford Factor).
8. Complete 6 and 13-week probation reviews and annual staff appraisals.
9. Provide cover for supervisors and team leaders when needed.
10. Ensure supervisors, chargehands/foreman carry out their jobs correctly and adequately supervise all staff.
11. Ensure staff complete all daily activity briefings, toolbox talks, and daily plant checks (DABS, TBT, Plant Forms are to be handed to the manager for checking weekly, then passed to the SHEQ team).
12. Ensure all staff are trained and competent before being given a task, and that new starters, agency, or temporary workers are inducted and trained, with training records completed and returned to the SHEQ Department.
13. Raise and submit monthly maintenance reports for all sites to clients and the Ops Manager, including progress, issues, defects, works completed, and works due/overdue for all sites.
14. Keep the Ops and Commercial Manager informed of any site damage and contractual issues.
15. Liaise with all allocated clients maintaining a high level of communication.
16. Attend all managers, department, and client meetings as required.
17. Raise quotes for any extra work (via the Commercial Manager) with the client, ensuring that the works are accurately costed and profitable.
18. Order materials required for the works.
19. Manage and maintain all allocated vehicles and machinery proficiently.
20. Produce and update method statements and site-specific risk assessments for all works using allocated forms, ensuring staff read and sign these method statements.
21. Carry out a monthly SHEQ audit.
22. Organize the summer watering schedule, labor, bowsers, standpipes, standpipe licenses, etc., ensuring all trees and large shrubs and GM sites under warranty/defects liability/contract are watered.
23. Organize winter drain down and spring start-up on irrigation systems for all contracts.
24. Ensure profitable running of Grounds Maintenance (GM) contracts.
25. Raise a master GM work schedule.
26. Ensure GM contracts do not suffer excessive plant and tree defects.
27. Liaise with suppliers to ensure GM machinery is well maintained.
28. Conduct monthly checks of all GM staff spray books.
29. Keep the GM stores and pesticide stores tidy.
30. Organize staff parking in London, manage parking payments, and collect parking receipts for accounts.
31. Help manage small construction soft landscaping projects as needed.
32. Assist the company in complying with our carbon reduction policies, targets, and objectives.
33. Any other duties required by the Ops Manager or Frosts management team.

Training & Experience Required:
1. Experience in Commercial Construction - Mandatory.
2. Previous experience of managing staff.
3. Good numeracy and literacy skills.
4. Computer literate in Microsoft packages including MS Project and web-based permits and document control systems (Aconex, Viewpoint, etc).
5. Ability to read and understand drawings, contracts (JCT & NEC), and specifications.
6. Positive attitude towards work, quality, and health, safety, and the environment.
7. Open to on-the-job training.
