An exciting opportunity is now available for a motivated, enthusiastic and flexible person to join our small Governance Administration Team in our Estates & Facilities Directorate.
In this role you will provide a comprehensive, effective and efficient administrative service to our Deputy Director of Estates & Facilities and Managers within the team.
You will also support the weekly process of reviewing, checking applicability of Patient Safety Alerts, Medical Device Alerts through our Trust's internal CAS alert system.
This job is very varied and includes covering reception/switchboard and post-room duties as well as day-to-day administration tasks including diary management, scheduling, data collection, minute taking and action log reports.

Main duties of the job
The successful applicant will work as part of the Facilities Governance Team within the Estates & Facilities Directorate providing an effective, efficient and high-quality administrative and clerical service to support the wider team.
* Provide cover to the Front of House Services at New Mill including meeting and greeting visitors, switchboard and meeting room management.
* Assist in maintaining systems across a range of Facilities services, including the Trust CAS System, Trust Approved List of Contractors & Consultants, Tender process and Contractors rotation lists, and various filing systems.
* Daily diary management, stationery/consumables ordering, daily post room duties including sorting and franking mail, and providing monthly reports to senior managers.
* Act as first point of call for the Facilities Administration Office and New Mill Trust Headquarters Post Room.
Person specification
Qualifications
* Minimum RSA Stage I Typing or equivalent
* English Language GCE Grad A-C or equivalent
* Minimum RSA Stage 2 Typing or equivalent
Experience
* Minimum 1 year administration experience
* Confidence in dealing with staff at all levels
* Ability to work in a busy environment.
* Use of Microsoft Office packages.
* Diary Management
* Use of switchboard/Reception
* Use of franking machine
Knowledge
* Knowledge of working within an NHS environment.
* Knowledge of computerised systems.
