Administrator (Health & Fire Safety)
Location : Godalming, Surrey GU7 2DX
Salary: £9,951 per annum (0.33 FTE)
Hours : Part time, 15 hours per week, Monday to Friday, 3 hours per day (flexible, to be discussed at interview); term time plus the first and last weeks of the Summer term and half a week either side of the Christmas and Easter terms

The Role
The School is recruiting an assistant who will provide administrative support to the Health and Fire Safety department across a range of tasks. The successful candidate should have experience providing administrative support in an office environment and the ability to follow set procedures accurately and consistently. The candidate should be adaptable demonstrate initiative.
This role is a great opportunity for a candidate who possesses the ability to work effectively with data sets from multiple sources, and also understand and care about the wider impact of the data and how it can be used to improve safety within the school. They will become part of a small team of professionals who are passionate about making a difference, and an organisation with a longstanding commitment to safety within its schools.
Key Responsibilities
The Health and Safety Manager is the line manager for the Administrator; and is not a line manager themselves.
The Administrator should liaise closely with the Health & Fire Safety Technician and other relevant Heads of Department.
Electronic data management including accident/incident and fire safety reports and producing statistics for managers.
Updating of documents including policies and procedures (using Word, Excel and on occasion PowerPoint)
Administration of annual driving licence checks and issuing permits where required.
Maintaining the register of school minibus drivers.
Maintaining the register of suitably qualified First Aiders and Fire Wardens within the School.
Maintaining the register of fire extinguisher servicing and replacement.
Maintaining the register of Display Screen Equipment assessments.
Maintaining the register of Risk Assessments.
Coordination with other departments on the internal safety audit programme.
On occasion servicing meetings and minute taking.
Coordination of external contractors and consultants visits and booking them on the system.
Invoice processing and reconciliation.
Skills and Qualifications
A good standard of education, including English and Mathematics GCSE or equivalent
Excellent verbal and written communication skills.
Excellent knowledge of Microsoft 365 & Microsoft Office (incl SharePoint).
Strong computer skills including Excel, Adobe and data management skills.
Experience of working in a professional office environment.
Ability to handle sensitive information in confidence.
Some understanding of health & fire safety
At least 3 years admin experience.
Desirable Qualifications (but not essential)
Knowledge of safeguarding procedures (training will be given).
