We are seeking a professional and friendly Receptionist/Administrator to join the team to offer administrative support across the organisation. You will be the first point of contact for our company on Reception, welcoming guests, greeting people who visit the business in a professional manner and executing all administrative tasks of the highest quality.
Employment type: Permanent fixed-term 12 months
Location: AutoProtect MBI, Warwick House, Roydon Rd, Harlow, Essex, CM19 5DY
Working pattern: 35 hours per week, Monday-Friday 8:30am-4:30pm.
The role
The key responsibilities you could be looking after include:
Receptionist
* Greet and welcome guests as soon as they arrive at the office
* Clerical duties such as filing and photocopying
* Maintain fire marshal/first aid register
* Ensure reception area is tidy and professional at all times
* Liaising with other members of staff and external parties such as clients and press
* Making travel and hotel arrangements
* Manage all room bookings in accordance with company policy
* Setting reminders for meetings, appointments and other important tasks
* Direct visitors to the appropriate person and office by phone and email
* Planning conferences, workshops, seminars and other events
* Receive, sort and distribute daily mail/deliveries
* Scheduling appointments and organising diary entries
* Ordering office supplies such as stationery, tea, coffee and other sundries
* Supporting the management team with other clerical/administrative tasks
* Ensure that meeting rooms are furnished with refreshments, flip charts and stationery as required
* Ordering lunch for large meetings
* Maintain office security by following safety procedures and controlling access via the reception task (monitor logbook, issue visitor badges)
Administrator
* Assisting our Central Support Unit with administrative tasks such as policyholder amendments and change of vehicle details
* Provide administration support to sales agents/dealers
* Deal with all general enquiries within your ‘agreed level of knowledge’ from the field team, policyholders and dealers
* Working to targets and deadlines as set by the Company
* Ensure that proposed business processes are in line with best practices from an insurance and financial perspective
* Other reasonable duties as required

Essential Knowledge and Experience

* Excellent communication skills both verbal and written
Preferred:
* Experience as a receptionist, front office representative, or similar role
* Experience in administration
