Clerical Support Officer
We are searching for a Clerical Support Officer to assist and support with a number of key administrative functions.
The ideal candidate will be looking to develop and grow their existing skillset and knowledge, with opportunities available to train and develop in Quality and Compliance.
MAIN DUTIES AND RESPONSIBILITIES:
* Assist Operational Managers with various office duties pertaining to ongoing projects throughout the Hospital.
* Enter and respond on behalf of the Operational Managers for any Ulyssess incidents.
* Maintain archive storage area and carry out moving and handling of archived documentation.
* Assist the Compliance Management Team with receipt, collation and inspection of monthly SPAM data.
* Identify required changes to forms and procedures and inform the Quality Management Team.
* Respond and issue car park refunds after investigation whilst liaising with the Finance Manager.
* Issue and take payment for temporary employee car park permits.
* Assist in the organisation of charity events as requested for site.
* Record and communicate messages including delivery across site.
* First Aider for Mitie House (training available).
* Key issue from key cabinets to authorised personnel, ensuring keys are returned.
* Provide absence/holiday cover for the main Hospital Atrium Reception.
* Take notes in meetings on behalf of Operational Managers including welfare and grievances.
* General duties including photocopying, typing, upkeep of the Mitie House visitors log.
* Modify process maps as requested by process owners.
* Book meeting rooms and send out invites on behalf of Operational Managers.
* Collate and produce the site News Letter.
* Collate and update site staffing lists for Operational Managers as requested.
* Ad-Hoc general site clerical and administrative duties including keeping noticeboards up to date.
