The Role Loveday are looking for an Office Manager/PA to support the front desk at our head office based in West London. The ideal candidate should have proven experience providing high-level business and personal support. The role will include extensive diary management of the Managing Director and Executive Team as well as other business administration tasks. You may have worked in small or medium sized businesses or corporate roles and have a good understanding of how a business owner and/or Director operates and can support with managing their workload. You will be working in a confidential environment, so integrity is crucial. Please note, while we are open to flexibility, there is an expectation that this role will be required to be on site at either our Head Office and/or care homes. Key Responsibilities: Manage all aspects of general office administration including but not limited to maintaining and developing administrative systems, managing post and deliveries, office supplies and maintenance. Support in the preparation of reports and presentations including any meeting notes as required General office management and facilities duties including monitoring and ordering of any office supplies etc. Organising Head Office meetings and arranging appointments Support Exec team with oversight of ongoing business projects Respond and manage any direct phone calls Liaise with clients, colleagues, suppliers and other third parties Process, prepare and distribute any corporate documents as appropriate Greet visitors and clients Involvement in routine administrative duties Liaising with office suppliers - IT / building mgmt. / telephone & power suppliers Maintaining office fire procedures and health and safety Keeping a clean and tidy office environment First point of contact when welcoming clients to the office Answering calls & taking messages Booking meeting rooms and making meeting arrangements as required Ensure all filing (both electronic and physical) is up to date and well-managed. Managing office / team expenditure and reporting to accounts department Reviewing culture policies and updating Culture Book Helping to build a strong team dynamic and culture.
