Administrative Support – Maternity Cover (9–12 months) Great opportunity for a proactive and detail-oriented Administrator to join our client's team to cover maternity leave. This role is with a well-established engineering company based in Dunfermline. The role is set to commence by the end of March to ensure a smooth transition prior to the end of May. Initially, this position will be for 9 months, with the possibility of extension up to one year. Hours: Monday to Thursday: 8:30 AM – 4:30 PM | Friday: 8:30 AM – 1:00 PM Holidays: 30 days (pro-rata) No overtime or weekend work Full time office based Responsibilities: Provide administrative support for process procedures, ensuring compliance with IMS. Handle incoming calls as part of a shared office rota. Assist with project planning using CRM Schedule Board. Support technical teams by managing project documentation, attending engineering meetings, and taking minutes as required. Coordinate travel and accommodation for the Engineering Department in line with approved projects. Process project orders (Engineering Orders) using Windows CRM Dynamics. Maintain and update project budget sheets in Excel, working alongside Project Engineers. Collect and input engineers’ timesheets into budget sheets (Excel) and Sage. Prepare and raise invoices for engineering projects, including submission via customer invoicing portals. Manage training records and matrices using Excel and Mango software, booking internal/external training courses as needed. Handle supplier and subcontractor questionnaires. Assist with QHSE-related tasks, such as audit preparation, updating job folders, and managing returns/improvements (non-conformances). Provide cover for other administrative tasks across departments during periods of holiday or absence. Requirements: Strong proficiency in Microsoft CRM and Excel. Ability to work both independently and as part of a team. Excellent attention to detail and organisational skills
