The Project Support Co-ordinator will have excellent communication skills to work collaboratively with all staff, suppliers, and customers. They will report directly to the Operations Manager and work closely with the rest of the business to ensure that projects are completed in accordance with company policies and the business’s needs on time and in the most cost-effective manner.
Key Responsibilities:
1. Support our project team to deliver quality projects on time, and within budget.
2. Co-ordinate O&M projects, scheduling recurring tasks and supporting Project Managers to ensure quality works.
3. Co-ordinate Utilities projects in Trainee Project Manager type role with on job mentoring and support.
4. Maintain the project master schedule and assist with individual project plans when required.
5. Assist with work instructions and project paperwork.
6. Assist with ordering materials for projects and assigning to relevant project(s).
7. Arranging hire plant and equipment, liaising with suppliers and booking out against projects.
8. Raise variations, sending to customer for approval and then raising invoice.
9. Book accommodation, transport, flights as needed and assign to relevant project.
10. Communicate professionally with customers, suppliers, and stakeholders alike.
11. Attend and participate in project close outs for relevant projects, ensuring own actions are closed out.
12. Track progress of Faults and invoice once works completed.
13. Support with Stores as required.
14. Ad hoc invoicing.
15. Collate, chase approvals and input timesheets into Simpro.
16. Support with payroll duties.
17. Assist with account queries when required.
18. Assist with forklift duties as required.
19. Carry out fire warden duties as per our fire safety procedures.
20. Assist with updating the on-call rota and issuing to the team.
21. Work with team to meet departmental and CPD objectives.
22. Performing other duties as assigned by the Management & Leadership Team.
Skills & Experience
• Ability to learn on the job.
• Good working knowledge of computer technologies, systems, and software.
• Good at project planning with a talent for pushing the project along, keeping everything on track.
• Strong communication skills both written and oral.
• An enthusiastic and committed attitude.
• Full driving licence.
• SHEQ (Safety, Health, Environmental and Quality) awareness.
• Project Coordinator/management experience is desirable.
