Job overview
The Clinic Co-ordinator will be the first point of contact for patients and visitors attending Mental Health Outpatient Clinics. You will reception and co-ordinate outpatient clinics and follow-up appointments for patients, deal with a variety of telephone calls. The role will also include the filing of correspondence as per Mental Health Directorate procedures, retrieving and returning of case notes to the main filing library, prepping of case notes for outpatient clinic, and in conjunction with colleagues maintain the records library in accordance with local policy and retention and destruction schedules.
Maintain the Medical Records Library ensuring files are stored in the correct areas.
The Clinic Co-ordinator may also be required to cover at any site within the Mental Health Directorate as directed by their line manager.
Main duties of the job
We are seeking a highly motivated individual to work as a Clinic Co-ordinator within Mental Health Services. Although the base will be the Mental Health Department, Royal Glamorgan Hospital, the successful candidate will need to have a flexible approach to work and may be required to travel to community sites to reception outpatient clinics regularly.
You will be the first point of contact for patients and visitors attending the Mental Health Unit.
Good organisational and communication skills are essential as well as a flexible approach to work, along with an ability to deal with distressed and irate clients/carers with sensitivity and diplomacy. The successful candidate will have previous office experience, ideally in a similar role within the NHS, Social Care, or other health-related environment and be able to prioritise work to meet tight deadlines. A good general education, educated to 3 GCSEs or equivalent, as well as knowledge of Health Board IT systems to include Welshpas, FACE, and WCCIS would be desirable although full training will be given.
The successful candidate will be able to work in a challenging environment and have a sensitive, caring, and non-judgemental attitude to issues faced by people with Mental Health problems.
