Join the Prostate Cancer Theranostics and Imaging Centre of Excellence (ProsTIC), a world-leading prostate cancer research program led by Professor Michael Hofman. This role is 64 hours per fortnight & 4 days a week, fixed term role is until June 2028 with an opportunity for renewal.
We're looking for a Senior Research Administration Officer to support our Director and Program Manager in the formative work they do. This is a varied and fast-paced role where no two days are the same. You'll manage key administrative tasks, assist with grant applications, handle budgeting and reimbursements, coordinate travel and keep our social media presence active across our website, LinkedIn, YouTube and X. You'll also help organise international conferences, workshops and webinars ensuring our research reaches the people who need it most. Importantly you will use your relationship building experience to nurture our multidisciplinary team and aid the direct reporting to Peter Mac hospital executive.
Beyond the day to day, we're looking for someone who can improve processes, anticipate needs and help things run smoothly behind the scenes. Your work will directly support a team at the forefront of prostate cancer clinical and laboratory research, helping to drive innovation and improve patient outcomes.

Position Summary
The Senior Research Administration Assistant provides high-level administrative support directly to the ProsTIC Director & Program Manager. This role involves:
1. Delivering the highest standards of internal and external customer service.
2. Providing expertise in administration systems and administrative processes.
3. Providing administrative support to the ProsTIC Director & Program Manager assisting them with various tasks including financial/budgeting/reimbursements, grant writing support, high-level minute taking and follow up of action items, diary and travel management, social media management across multiple platforms i.e.: LinkedIn, YouTube, Website, X.
4. Supporting outreach and education projects such as conferences and workshops.
5. Identifying opportunities for process improvement and leading change initiatives.

* Tertiary graduate (Science) or a number of years’ work experience in a research/hospital setting.

Key Accountabilities
1. Take leadership of administration activity within the ProsTIC program.
2. Utilise leadership skills to gain cooperation and assistance in administration activities and influence others in order to meet the achievement of objectives.
3. Expert diary management through effective management of calendars, using initiative to resolve any conflicts and exercise judgement on priorities and ensuring priorities are always met. Proactively considering and managing forward planning of critical events.
4. Excellent word processing skills, ensuring documents are accurate and well presented.
5. Develop and maintain administrative SOPs (standard operating procedures).
6. Implement strong reporting systems that cover key aims of the program.
7. Assist with advanced planning to ensure key deadlines are met.
8. Identify and initiate additional tasks as they become obvious.
Provide exceptional customer service
1. Maintain a high level of customer service to core ProsTIC team and wider staff within Cancer Imaging.
2. Manage records and set up systems to streamline accessibility.
3. Consistent demonstration of a commitment to improve services and processes.
Support the work of the team and department
1. Work cooperatively as part of the team and assist other areas and staff as necessary.
2. Develop consolidated reports and provide to program manager.
3. Ensure financial reporting is coordinated across multiple projects.
4. Monitor ongoing expenses against allocated budget.
5. Provide high-level administrative support to Director and Program manager.
6. Involvement in high-level report writing.
7. Involvement in intranet and website maintenance and development.
8. Other tasks as directed by your manager.
9. Approach work in a flexible and collegiate way responding to changes in a proactive manner.
10. Ensure communications are directed appropriately.
11. Build and maintain relationships with key internal staff and external providers.
12. Work cooperatively with other departments to obtain assistance and/or influence others in the achievement of set objectives.
