The role of a Junior Legal Assistant is primarily to support fee earners, allowing them to provide clients with legal services of the highest professional standard, within the timescales required and having due regard to cost effectiveness, with a view to achieving the client’s stated objectives. Responsibilities The Junior Legal Assistant remains accountable for establishing and maintaining an ongoing service based relationship with the staff they serve to and will be able to recognise and translate their needs and expectations into a responsive service. In line with policies and procedures, key responsibilities include: Administrative and File Management Arrange meetings, book conference rooms, refreshments, check rooms prior to meeting etc. and liaise with other attendees, both internal and external. Undertake large and small copying requests. Scan documents onto the system. Receive and process file management requests promptly. Create new client files on the system. Add documents to existing client files or return them as necessary. Use the practice management system to log and record documents accurately. Administer and manage closed files as instructed. Perform all file management and housekeeping tasks to ensure that filing is consistently up to date. Understand, identify, organise and process all key documents within files. Execute all file closing procedures diligently. Process requests for archived file retrievals efficiently. Maintain all filing and work areas in a tidy and orderly manner. Keep detailed records of time spent on various file management tasks for internal tracking. Assist with any ad hoc duties as requested by the team or business. Communication Handle internal and external telephone queries, responding appropriately or ensuring that all messages are promptly relayed. Monitor post and emails, addressing them as appropriate, and ensure that all client-related correspondence is forwarded to the relevant lawyer if they are out of the office. Liaise with administrative support departments on behalf of lawyers as required Document production Produce and amend correspondence, documents, reports, deeds, and attachments from various sources, ensuring they align with the firm's in-house style and specific systems/procedures. Create and modify PowerPoint presentations, organisational charts, mail merges, Excel spreadsheets, and graphs as required. Utilise systems effectively to prioritise and complete incoming work efficiently. Financial • Assist lawyers in the billing and credit control process. Customer Service Address any enquiries from Lawyers and Legal Assistants promptly and efficiently. Communicate and liaise with Lawyers and Legal Assistants regarding file management issues. Provide regular and relevant updates to service users on progress where appropriate. Personal attributes and skills Experience in the area of Employment is desired but not essential. Accurate typing speed of at least 60 words per minute. Proficient in Microsoft Word, Outlook, Excel, PowerPoint, and other systems used by the firm, with the ability to use these tools efficiently. Well presented Highly literate and numerate with strong customer service skills. Excellent communication, organisational and team-working skills. Excellent telephone manner and a good understanding of telephone systems. Capable of taking initiative and finding solutions to problems, with the ability to liaise with colleagues as needed. Flexible and enthusiastic self-starter. Able to work independently as well as part of a team. Strong attention to detail with the ability to maintain high levels of concentration for extended periods. Ambitious to advance in your career and consistently deliver high-quality work.
