Job Title: HRIS Data Analyst (12 month FTC)

KEY ACCOUNTABILITIES / ROLE PURPOSE
The HRIS Data Analyst will collaborate with our internal business systems teams to support the integration and optimisation of our HR and Payroll systems such as, but not limited to, ADP and Dynamics 365. This role will focus on delivering a seamless HRIS roadmap, ensuring data integrity, and enhancing reporting capabilities to support key decision-making. The ideal candidate will have a strong technical background in HR systems, a proactive approach to process discovery, design and improvement, and a collaborative mindset.
MAIN DUTIES AND RESPONSIBILITES
* Act as the People and Talent lead to support the integration of our systems such as, but not limited to, Dynamics 365 and ADP by developing and executing a comprehensive HRIS roadmap, ensuring system alignment and efficiency.
* Collaborate with internal stakeholders to refine an established process workflows with an emphasis on automation enablement for Ultima’s JML process
* Serve as the primary technical point of contact in the People and Talent team, ensuring data integrity by overseeing team data entry and delivering internal training to HR on changes and best practice.
* Maintain and monitor employee workflows and data entry processes, ensuring accuracy and efficiency in system functionality.
* Collaborate with internal business systems teams to develop and maintain dashboards, reports, and visualisations to better support HR decision-making.
* Analyse and interpret HR data related to workforce metrics such as headcount, turnover, engagement, diversity and recruitment.
* Act as the People and Talent team’s subject matter expert on privacy and data protection, particularly concerning GDPR and other relevant legislation.
* Ensure compliance with data privacy regulations and organisational policies.
* Conduct benchmarking studies to compare organisational metrics with industry standards, such as absence rates, turnover and retention rates.
* Conduct audits of HR data processing activities to identify risks and potential mitigations, in collaboration with our Compliance and Data Protection team.
* Assist with internal and external audits by providing required data and reports.
* Work closely with HR leaders, managers, and cross-functional teams to understand data needs and provide analytical support where needed.
ESSENTIAL KNOWLEDGE, SKILLS & EXPERIENCE
* Experience in HR analytics, data analysis, or a related role.
* Proficiency with HR systems specifically D365, ADP and data visualisation tools (e.g., Power BI) as well as Excel.
* Familiarity with process workflow discovery, design and refinement, such as creating and owning process design documents (PDD) relating to HR workflows
* Awareness of automation and/or AI technologies, with the ability to lead and aid in evaluation of new tools to enhance HR operations, or aid technical teams on how best to implement them
* Strong understanding of HR practices and metrics.
* A good understanding of UK data protection law and privacy principles.
* Familiarity with data subject access rights.
* Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities and deadlines effectively.
* Able to translate complex technical details into actionable insights for diverse stakeholders while addressing challenges with innovative solutions.
