Musculoskeletal Services provides outpatient care for adults within Cannock and Stafford. This role provides administrative support to the Operational Lead including co-ordination of the administrative staff across the MSK Services of South Staffordshire. We are looking to recruit a Band 3 into this developments post to become a Band 4 once trained and competencies are achieved. The ideal candidate will need to be flexible as the work covered may change week by week.
Main duties of the job
1. To work in partnership with the Operational Leads, and the wider team to deliver an integrated musculoskeletal service to the population of South Staffordshire.
2. To work autonomously to provide a high level of support to the South MSK Operational Leads.
3. Ensure efficient delivery of all clinics and associated activities.
4. Proactively manage wait lists and other data as required and delegated by the Operational Leads.
5. Assist the MSK Operational Leads in collating information relevant to deliver the best outcomes for patients.
6. Assist the MSK team in providing information for audit purposes.
7. To be responsible for the administrative management of the clinics on the electronic system (RiO), including permanent clinic changes in agreement with the Operational Leads.

Job responsibilities
1. Responsible for escalating concerns to the Operational Leads in relation to all aspects of the patient journey and service delivery.
2. Responsible for clinic planning and management of clinic room bookings and revision of clinics to serve the service need.
3. Provides, creates and interprets spread sheets for audit purposes.
4. Co-ordinate a comprehensive administrative service prioritising, delegating, organising workloads as appropriate.
5. Set up clinic sessions with current clinical system (RiO) as directed by Operational Leads.
6. To continually manage and review the clinic schedules, ensuring improvements are implemented. Be responsible for providing current/up to date information to the Appointment Booking Centre, regarding slot availability and wait times to ensure all available capacity is used as well as offer support, guidance and advice as necessary.
7. To escalate and manage IT and system issues and report back to the Operational Leads action taken.
Person Specification
Qualifications
* Educated at NVQ level 4 or equivalent
Experience
* Experience in dealing with people to maintain high level of customer care.
* Ability to establish rapport and credibility with medical staff, clinicians and other staff.
* Experience of supporting senior roles
* Experience of working within the NHS.
Skills and Knowledge
* Excellent written and verbal communication skills
* Ability to work autonomously, prioritise own workload and act on own initiative to agreed deadlines.
