We want to continue to grow our team with people just like you About the Role BJSS’s Leeds Office is the largest of our digital delivery hubs and is an exciting place to be. The Office Manager will be a key part of the team, overseeing the support functions which keep the office delivering. All our offices adopt a relaxed and friendly approach, and we’re looking for an individual who will play a key part in ensuring that we retain and enhance this as we grow. The Office Manager will be accountable for all the aspects of the physical office, including but not limited to: Physical Security Working with the BJSS security team to ensure that company security policies are met within the Leeds office Being accountable for the local office alarm system and CCTV Issuing passes and lanyards to guests and new starters New Starters Ensuring that new starters are made to feel welcome and have a great induction into the firm, alongside setting them up in BJSS systems Making sure all new starters have the relevant kit for day one and an induction schedule Liaising with the Central Operations and Onboarding team to ensure all new starters are set-up and onboarded without any issues Office Environment & Facilities Working closely with the Local Leadership Team to create a warm and friendly environment and building on the BJSS culture within Leeds Accountable for ensuring the office is clean and tidy, both by coordinating the cleaning and maintenance firms that we use, and responsible for ad-hoc tidying throughout the day Ensuring the office and kitchens across all floors are fully stocked and supplied with drinks, snacks and stationery Managing accounts e.g. cleaners, building facilities, new suppliers and ensuring they go through the Supplier onboarding process Maintaining and managing office environment policies, such as clear desks Liaising with building management Working with IT to ensure we have enough equipment in stock Budgets / Accounts Managing the office costs to budget Raising POs for both BACS and credit card payments and ensuring appropriate processes are followed Liaising with the accounts team on any queries Processes and process improvements - operating and designing processes to make the office environment move smoothly Health and safety Ensuring an adequate number of staff are First Aid / Fire Warden trained Managing the Fire safety – yearly risk assessment and Fire extinguisher checks Maintaining records and ensuring all relevant checks, servicing and certifications are up to date Requesting documentation from third party suppliers About You This is a great opportunity for an existing Office Manager or someone with transferable skills looking to progress.
