What’s the role? You will deliver a high level of administrative support to the team assisting with the administration of clients in line with the defined business activities. What you’ll be doing Assist team with the administration of client portfolios Prepare basic letters, email correspondence and documentation Accurate and timely saving of electronic correspondence and documentation within the client files Update team specific spreadsheets and client governance calendars Assist with the maintenance of statutory books and records Assist with scheduling meetings, support with board pack preparation, collating information and circulating meeting packs Attendance at meetings and taking notes, if requested Draft basic minutes and resolutions (with assistance) and circulate to relevant parties Support with execution of documents and delivery to clients in line with transactional deadlines Support with statutory filings to be made with relevant authorities Support with payment run process and management of small non-complex payment runs Assist with fee set up forms and routine billing Send out invoices to clients and monitoring receipt of payment Support with onboarding of new clients and periodic reviews Having an awareness of the risk profile of clients within the team portfolio Support wider Operations team with day-to-day tasks during high volume periods The ideal background for this role: Qualifications & Experience Sound academic background Studying towards or a willingness to study for a professional qualification such as: CGI Foundation Programme CGI Certificate in International Finance and Administration Certificate or Diploma in Fund or Corporate Administration Previous office experience would be preferred Knowledge and Skills Working knowledge of Microsoft Office A basic understanding of the local finance industry and regulatory requirements in which we operate Good written and verbal English Highly accurate with good attention to detail Good time management Desire to learn and develop Strong commitment to client service excellence Role Location/Hybrid Schedule This role is based in our Southampton office. Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual’s preferences and circumstances.
