The Role As a Defleet Assistant, you will be part of a dedicated team ensuring the smooth operation of the Defleet process. Your role will involve processing DVLA acknowledgements, managing V5 documentation, overseeing inbox management, handling RFL cheques, updating CAP valuations, and supporting overdue call management. Your keen attention to detail and strong organisational skills will be crucial in maintaining high standards and effective communication with both customers and colleagues. Key Responsibilities Process V5 documentation, including distribution, scanning, and record-keeping. Manage DVLA acknowledgements to ensure compliance and accuracy. Handle Road Fund Licence (RFL) cheques efficiently. Maintain and update booked vehicle lines promptly. Organise and distribute post to ensure effective communication. Prepare V11 documents for monthly renewals. Monitor and manage inboxes, responding to queries and escalating when necessary. Answer and direct calls professionally and efficiently. Update CAP valuations, ensuring data accuracy. Support overdue call management by following up on outstanding actions. Assist with additional Defleet team tasks as needed. We’re Looking for Someone Who: Has strong administrative experience. Ideally has experience in an automotive or rental vehicle role. Is dynamic, proactive, and ambitious. Can effectively prioritise workload in a fast-paced environment. Is proficient in Microsoft Office (Outlook, Word, Excel). Possesses excellent verbal and written communication skills.
