We have a requirement for 2x Personal Assistants to provide dedicated, confidential PA support for up to two Senior Civil Servants. The role operates in a fast-paced, pressurised environment, and it is key that the successful candidate is comfortable working directly with senior leaders, able to prioritise effectively, plan ahead, and develop good working relationships with a broad range of stakeholders.
Key Responsibilities include:
1. Taking the lead as the Director's / Deputy Director(s)'s first point of contact, providing comprehensive and proactive inbox(es) management.
2. Proactively and reactively managing the Director / Deputy Director(s)'s diary, ensuring efficient use of their time, managing changes and conflicts.
3. Providing the Director / Deputy Directors with all necessary documentation ahead of meetings.
4. Facilitating effective communication between the Director / Deputy Director, their senior team, and other stakeholders, both internal and external, as required.
5. Working with the business support team to organise and manage the logistics of business meetings, conferences, and away days, ensuring that meeting papers are complete and distributed in a timely fashion, as necessary.
Skills and Experience required:
1. Ability to communicate effectively, both in verbal and written format, and comfortable liaising with people at all levels across the organisation.
2. Highly organised with the ability to work well under pressure to ensure deadlines are met, and that information can be quickly and easily located and understood.
3. Ability to prioritise your work, managing competing demands and priorities efficiently.
4. Ability to flex personal working style to meet the needs of the Director / Deputy Director(s).
5. Excellent attention to detail, producing high quality work.
6. Experience of using the MS Office suite.
