Job overview
The Quality Academy Improvement Team supports the Trust wide delivery of the People First programme. Ensuring all staff are engaged and part of our improvement journey is key to delivering innovative and sustainable change.
The People First programme is changing the way we work to improve the quality of care we provide, making our services safer, more effective and more patient-centred, and valuing the voice of the customer to achieve maximum benefits for patients, carers and staff.
Due to maternity leave, an exciting opportunity has arisen for a one-year secondment to the Team as an Improvement Facilitator. Working closely with the Head of Improvement and Director of Improvement, you will help manage the Quality Improvement training programme and the rollout of the People First Programme into new areas. You will also provide PA support to the Director of Improvement and manage the team’s Improvement Administrator.
Main duties of the job
Improvement and Project Support, including:
1. Tracking of new projects, including prioritisation and assignment via appropriate tool e.g. Excel.
2. Managing all aspects of monthly Report Out and monthly Quality Improvement bulletin (“Lightbulb”) for the Director of Improvement including clarifying content, presenters, chasing for updates in line with design standards.
Provision of a comprehensive administration service:
1. Line management of a Band 2 Administrator to ensure administration support for the Director of Improvement and the wider team.
2. First point of contact for all enquiries into the team; dealing with or routing enquiries appropriately.
3. All aspects of communication support to the QA and the People First Programme by managing the Twitter account (@QAPlymouth), supporting WhatsApp groups, and supporting the team and Programme in publicising improvement work across the Trust.
People First Training Coordination:
1. Maintaining the People First Programme library and resources, including the external website, ensuring that improvement project information and training materials are up to date and easily referenced.
2. Managing the training records for all Kata and Practice Coach training – includes tracking progress towards certification, allocation of QA Team coaches and provision of admin support for the organisation and smooth running of training sessions.

1. To support the project management of quality improvement work in the Trust with the support of the Quality Academy Team.
2. To support the robust planning, management, implementation and evaluation of service improvement projects using excel or other tools.
3. Where identified to lead on the plan, manage, implement and evaluate of projects.
4. Provide general project management support to any projects led by the Quality Academy Team.
Person specification
Knowledge
* Significant demonstrable experience in an admin role in the NHS.
* Exceptional organisation and planning skills.
* Demonstrable experience in use of social media apps.
* Demonstrable experience of working across team boundaries.
* Proven knowledge of main hospital systems.
* Demonstrable experience of working in an acute hospital.
Qualifications
* Educated to GCSE Level (with English and Maths).
* Degree Level or equivalent proven knowledge/demonstrable experience.
* Proven proficiency in MS Word, Excel, Powerpoint, Project and Outlook.
* Excellent communication skills, written and verbal, with ability to demonstrate fluency, clarity and effectiveness at all levels.
* Ability to edit and reframe key messages for understanding e.g. at a patient level.
