Tradewaste/Wheelie Bin Coordinator
Location: Leicester LE4
Salary: GBP30,000 per annum
Hours: 9:00 AM to 5:00 PM, Monday to Friday

The Role:
This is a fantastic opportunity for a highly organized and enthusiastic person to become a key part of our trade waste operations and administration team. As a Tradewaste/Wheelie Bin Coordinator, you will ensure that scheduled wheelie bin collections are accurately managed, and routed efficiently to maximize productivity and customer satisfaction. You will also be responsible for liaising with both customers and drivers, overseeing invoicing processes, and contributing to the smooth running of the operations department.
Key Responsibilities:
* Complete and send quotations for new work via our bespoke quote system.
* Liaise with the Sales Department regarding new customers and quotes, following up with potential clients.
* Manage new and existing contracts, including e-signatures and updates via our bespoke software.
* Maintain and update customer price matrices and ensure accurate invoicing.
* Coordinate and manage trade rounds to optimize vehicle efficiency, rebook work when required, and address customer or driver issues effectively.
* Handle customer and invoice queries in a timely, professional, and calm manner, in collaboration with the Finance Team.
* Prepare and send Annual Duty of Care documentation, ensuring timely returns from customers.
* Raise credit notes, process adhoc payments, and manage customer portal changes.
* Work with the Finance Team to manage stop sites and reduce bad debt risk.
* Coordinate with third-party suppliers for subcontracted work, ensuring accuracy of billed costs.
* Organize bin delivery and collection schedules for new and lost customers.
* Provide regular and ad-hoc reports to customers.
* Support other areas of the business, such as skip hire bookings, when necessary.
Key Relationships:
* Reporting to the Operations Manager/Directors
* Interfacing with customers (existing and new), drivers, the Finance Team, and the Customer Services Team.
Ideal Candidate:
We are looking for someone who is self-motivated, methodical, and organized, with a passion for delivering excellent customer service in a fast-paced environment. The ideal candidate will have experience in transport planning, customer service, or a similar role, ideally in the waste industry. However, we will consider transferable skills from other sectors.
Key Requirements:
* Strong customer service and communication skills (phone, email, face-to-face).
* Commercial awareness and the ability to make informed decisions.
* Strong organizational and multitasking skills, with excellent attention to detail.
* Good geographical knowledge of Leicestershire and surrounding areas.
* PC literate: Proficient in Microsoft Office (Excel, intermediate level), Google Maps, and email.
* Experience in fleet management software is a plus (training provided).
