Are you an experienced Personal Assistant looking for a dynamic role where you can truly make a difference?
Phoenix Medical Supplies are seeking a reliable and proactive individual to join our Executive Support Office, providing comprehensive administrative support to our Directors.
Key Responsibilities:
* Oversee all administrative activities, including diary coordination and board activities.
* Manage travel arrangements, including flights, hotels, and car hire.
* Extensive diary management using Microsoft Office.
* Support Directors on confidential special projects.
* Prepare Directors for meetings with agendas, minutes, and presentations.
* Monitor and respond to emails and correspondence.
* Submit expense claims and reconcile credit card accounts.
* Coordinate international managers’ meetings.
* Attend meetings to take actions and minutes.
* Act as the first point of contact for Directors and accommodate visitors.
* Ensure meeting rooms are prepared and provide AV support.
What We’re Looking For:
* Proven experience as a Personal Assistant at Board Level.
* Strong planning and organisational skills.
* High proficiency with MS Office.
* Ability to work to tight deadlines and manage competing demands.
* Excellent verbal and written communication skills.
* Strong time management and organisational skills.
* Ability to build good working relationships at all levels.
* A mature and proactive mindset.
