Job Title: Receptionist/Facilities Coordinator
Reports To: Workplace Experience Lead
Hours of Work: Monday & Friday 9am - 6pm, Wednesday 7.30am - 4.30pm
Purpose of Job:
Overseeing reception, support with the management of facilities and other duties onsite.
Key Responsibilities:
1. Manning the reception desk and carrying out reception duties.
2. Meet and greet internal and external customers to site. Issuing visitors passes and lanyards.
3. To issue and manage keys via the procedure on site. Ensure that keys are controlled correctly and carry out checks on site keys for the Facilities manager.
4. Assist the site team with ad hoc requests and reactive works. Assist the site technician with any works requested as and when necessary.
5. Ensure the provision of a safe & healthy working environment, and ensure compliance with all Company policies and procedures, as well as client site policies, procedures and working arrangements, as required.
6. Provide high level of customer service at reception ensuring guests and staff are welcomed onto site with a warm welcome.
7. Manage reception inbox, ensuring an eloquent and timely response.
8. Carry out daily walk rounds ensuring the site is tidy and well maintained, be pro-active in reporting any issues or topping up supply levels.
9. Sort and manage incoming and outgoing post. Arrange the relevant deliveries in a timely manner.
10. Manage the meeting room bookings and ensure the rooms are set up and arranged ahead of time. Support in making bookings where needed.
11. Book in visitors and guests onto site using the visiting system. Ensure visitor passes are accounted for and control the removal and addition of staff passes etc on the access control system.
12. Book in visitors on the parking system.
13. Help with events that take place and ensure subcontractors are working in accordance with their RAMs.
14. Issue ATW and conduct DRA and BRR, ensure logbooks are up to date and that the other receptionist is carrying these works to CBRE policies.
15. Ensure all reactive jobs are logged on Si7 and closed out in a timely manner.
16. Create and issue new passes for staff on site.
17. Assist with completing reports which are submitted to the client.
18. Any other duties requested by the CBRE Manager.
