Assist the Urgent Care Lead Nurse & all Clinical Leads in all matters arising in the Emergency Department & Urgent Treatment Centre. Act as the first point of contact for any Admin queries for the Department, demonstrating problem solving skills, common sense, good communication skills and empathy. To work under pressure and with varying workload. To provide administrative support to the Departments; Matron, Consultants, Doctors, Managers and Nurses. Support including preparing responses and typing on behalf of the Management team. Also secretarial and administrative support including preparing responses and typing of general letters, X-ray letters, communication briefings, presentations, news bulletins, spreadsheets, flowcharts, file notes and any other documents required at short notice. Undertake preparation of medical records and other legal documentation. To provide a legal liaison point for internal and external companies. Internal meeting co-ordination including booking venue, catering, distribution of papers, equipment requirements. If required, to attend meetings, (clinical/administrative) take and type minutes, monitor action points. Develop and effectively implement the Urgent Care staffing rota six weeks ahead, ensuring that there is appropriate cover and issues are escalated to the relevant people. Maintain robust rotas to ensure the department is staffed sufficiently to mitigate any risk and ensure patient safety.
