Job Title: Sales Administrator
Hours: 35 hours per week
Location: Head Office, Crawley
Reporting to: Finance Director
About us
SOS Systems is a leading provider of print and document management in the UK. After 25 years with the business, the current Sales Administrator is retiring, and we are looking for someone to join the team as we head into the next chapter.
Role responsibilities
* Sales order processing: circulate the order processing document to Logistics and Solutions, check buy-in costs, challenge discrepancies, and raise sales orders.
* Purchase order processing: check existing stock levels and raise purchase orders (as appropriate) following the sales order, manage stock returns to supplier (where applicable).
* Invoicing: perform sales order invoicing, set up SOS rentals for billing lease and service, raise settlements and upgrade credits.
* Reporting: maintain the sales order processing document and CRM. Support finance with commissions calculations, monthly accruals and settlements.
* Third party financing: liaise with the leasing companies and provide necessary paperwork in a timely manner.
* Service agreements: set up in the system, perform service billing/invoicing/periodic charges, cancel service agreements where applicable and return equipment to stock.
* General housekeeping: answering the phone, addressing customer queries, respond to emails and manage general office administration tasks as applicable.
Experience
* Proven experience in a Sales Administration role.
* Excellent IT skills, proficient in Excel and Word.
* Resilient, professional, highly organised and structured, with a can-do attitude.
* Communication is key; with confidence to challenge colleagues on errors/discrepancies.
* Experience of the industry is preferable but not essential.
* Experience of using Vantage Online is preferable but not essential.
