Key Responsibilities:
Handle administrative tasks such as answering calls, forwarding messages, and maintaining the supplier database.
Assist the Purchasing Manager and team with all buying activities to ensure smooth operations.
Manage system data, ensuring compliance with company processes and procedures.
Ensure all database information is accurate, particularly regarding supplier lead and review times.
Keep price lists and price databases current and accurate.
Maintain key procurement documents to ensure records are up-to-date and organized.
Raise and process purchase orders, monitoring their progress through to completion.
Check the availability of goods to ensure quoted lead times can be met.
Update the relevant sales team or branch on the status of their orders.
Monitor stock movements and provide data to buyers to aid in informed purchasing decisions.
Undertake any other purchasing administration tasks as reasonably requested by the Purchasing Manager.
Skills and Experience:
Proven experience in administrative roles, preferably in a purchasing environment.
Excellent IT skills, particularly in Excel and database applications.
Experience in analyzing data and providing information to others.
Excellent verbal and written communication skills with a strong customer service orientation.
High accuracy in data management and strong organizational skills.
Ability to multitask and prioritize effectively in a fast-paced environment.
Ability to work collaboratively and independently when required.
